Administrative Assistant (contract)

Responsibilities
Manage complex executive calendars proactively, coordinating meetings, reviews, and engagements across multiple time zones and stakeholder groups
Arrange comprehensive travel itineraries and process business expense reports for senior leaders with accuracy and efficiency
Coordinate logistics for meetings, business reviews, offsites, and external speaking engagements, including agenda preparation and follow-up activities
Prepare materials and presentations for leadership engagements and strategic planning sessions
Serve as the primary point of contact for the department, managing communications and inquiries with professionalism
Partner with Finance, Human Resources, and cross-functional teams to support departmental operations and initiatives
Maintain team rhythm of business activities and operational processes to ensure consistency and reliability
Procure goods and services including office supplies, equipment, and manage vendor relationships as needed
Handle confidential and sensitive information with appropriate discretion and judgment
Complete special projects as assigned, demonstrating ownership and proactive problem-solving
Qualification
Required
Minimum 3 years of executive administrative support experience, preferably supporting senior or C-level executives
Proven track record of managing complex calendars and coordinating high-stakes meetings and events
Advanced proficiency in Microsoft 365 suite including Outlook, Teams, Excel, and PowerPoint
Exceptional calendar management and scheduling coordination abilities
Strong organizational skills with demonstrated ability to manage multiple competing priorities simultaneously
Excellent written and verbal communication skills for interacting with all levels of management and external partners
High attention to detail and accuracy in all administrative functions
Proactive problem-solving capabilities and sound judgment in decision-making
Ability to maintain confidentiality and handle sensitive data appropriately
Strong interpersonal skills for building relationships with stakeholders across functions
Adaptability and composure when working under pressure in a dynamic environment
Meeting and event coordination expertise including logistics planning and execution
Preferred
Experience supporting leaders in sales, incentives, or partner-facing organizations
Background working in technology or fast-paced corporate environments highly desirable
