Senior General Ledger Accountant: College of Arts & Sciences - UTK

The University of Tennessee Health Science Center is seeking a Senior General Ledger Accountant for the College of Arts and Sciences (CAS). This role is responsible for managing labor schedules to ensure accurate allocation of significant labor-related costs and involves auditing, analyzing reports, and developing processes for labor distributions across multiple departments.

Responsibilities

Review, analyze, and determine labor schedules in DASH system to allocate salaries and benefits accurately across funding sources in CAS units
Ensure all labor distribution entries align with approved budgets and funding allocations, independently determining and making necessary adjustments
Reconcile monthly and biweekly payroll and labor distributions for CAS to ensure pay and fringe correspond to employee salaries
Ensure labor distributions are submitted in a timely manner to support the correct posting of salaries to accounts, particularly sponsored projects in an effort to ensure accurate billing to funding agencies, determining corrections and updates to comply with agency expectations and to support the provision of accurate schedules of final charges at project closings. Troubleshoot and independently resolve discrepancies
Design, implement, and maintain standardized processes and procedures for labor distribution across the College
Develop and implement best practices to streamline workflows and improve efficiency in managing $150 million in salary and benefit allocations
Conduct regular audits of labor distribution transactions to identify discrepancies or errors using available reports, including Payroll and LD Cost Audit Report, Assignments with No Labor Schedule Report, and Labor Schedules in Submitted Status report, identifying and independently resolving errors and making needed adjustments
Ensure that labor schedules comply with institutional policies, are allowable to sponsored projects, and are in alignment College budget allocations, utilizing the Budget to Actuals report to identify discrepancies and determine how to reconcile the issues
Coordinate with PIs, business managers, and College finance team on labor distributions that do not post as anticipated to confirm percentages, chart strings/SPNs, and the correct assignment(s), providing guidance and expert recommendations on best options for correctly assigning labor and implementing the changes
Advise business managers, department heads, and PIs on how different labor distribution scenarios impact project budgets
Advise business managers regarding prospective costing changes, retroactive changes, and the downstream impact to budgets
Collaborate with departmental business managers and the College's finance teams to ensure consistency in labor schedules across the College, hosting discussions related to labor distribution and the impacts seen in CAS units
Provide training and guidance to CAS administration financial staff who may assist in process labor on labor distribution procedures
Analyze and review labor distribution processes and develop and implement process improvements and enhancements
Provide guidance and recommendations to departments related to budget planning for salary and benefit costs

Required

Bachelor's degree with 2 years of experience in General Ledger Accounting, Payroll Processing, or related field
OR Associate's degree with 4 years of experience
OR H.S. Diploma with 6 years of experience
Knowledge of large platform enterprise resource planning software
Excellent analytical skills with the ability to identify and resolve discrepancies
Knowledge of Microsoft Office products, with proficiency in Microsoft Excel
Strong organizational skills with the ability to effectively manage multiple priorities
Strong verbal and written communications skills, with the ability to effectively communicate with both faculty and staff

Preferred

Degree in Accounting, Finance, Business Administration, or related field
Experience with managing labor schedules in Oracle ERP
