Administrative Assistant II - Child Welfare

The Administrative Assistant II is responsible for providing administrative and clerical support to the Initial and Re-Licensing units, assisting in coordination of events, and managing documentation for licensing processes.

Responsibilities

Provides general clerical support, which includes answering and screening telephone calls, notarizing, scanning, sending, emailing, and making copies of licensing and re-licensing packets; opening, date stamping, and routing incoming mail; checking incoming faxes and forwarding to respective recipients; preparing meeting minutes; scheduling meetings
Preparing ongoing correspondence/handouts/flyers for training, meetings, and special events for foster parents
Assists in the coordination of venues for in-service, pre-service, and special foster parent events to include securing facilities, preparing training binders for P.R.I.D.E. trainings, and creating and maintaining the tracking spreadsheets
Requests and obtains documentation for licensing and re-licensing files, such as, law enforcement (FDLE), health inspections, references, etc., then delivering and filing said requests
Update computerized files Florida Safe Family Network (FSFN) data bases
Other duties as assigned

Required

High School diploma or General Education Degree (GED) with 6 months to one-year experience required
Current Background Clearance Screening Letter
Valid Florida driver's license
Ability to meet Organizational Required Competency standards
Excellent computer skills (Microsoft Office Suite)
Knowledge of basic office equipment
Excellent interpersonal and communication skills (verbal and written)
Ability to multitask
Ability to occasionally work a flexible schedule, including evenings or weekends

Preferred

Associate degree and one-year experience in the human services field preferred
