Payroll Tax Operations Specialist
Waterstone Human Capital USA is a fast-growing fintech company transforming the way businesses pay and support their workforce. They are seeking a Payroll Tax Operations Specialist to process payroll tax payments, support customer onboarding, and ensure compliance with tax regulations while maintaining accurate records.
Responsibilities
Process and remit payroll tax payments to federal, state, and local taxing authorities, including high-frequency (daily) remittances when required
Execute and monitor tax filings and payments within MasterTax, ensuring accuracy and timeliness
Coordinate with internal payment and operations teams to resolve remittance exceptions or system discrepancies
Support onboarding of new customers by assisting with tax account setup, registrations, and authorizations
Establish and verify system access in MasterTax to enable filing and remittance on customers’ behalf
Partner closely with onboarding and customer service teams to ensure smooth customer transitions
Work directly with federal and state taxing authorities to resolve issues related to filings, payments, penalties, and notices
Research and respond to IRS and state agency notices, including incorrect filings, penalties, or payment discrepancies
Assist in transitioning customers from manual payment methods (checks) to electronic remittance (ACH/EFT)
Maintain compliance documentation and audit-ready records within MasterTax
Support quarterly payroll tax filings through MasterTax with federal and state agencies
Assist with year-end compliance activities, including preparation and filing of W-2 and 1099 forms
Ensure accuracy during peak reporting periods and support reconciliation efforts
Address non-routine, customer-specific payroll tax issues as they arise
Conduct research on tax regulations, filing requirements, and agency correspondence
Collaborate with customers to identify root causes of issues and implement corrective actions
Qualification
Required
Experience in processing and remitting payroll tax payments to federal, state, and local taxing authorities
Proficiency in executing and monitoring tax filings and payments within MasterTax
Ability to coordinate with internal payment and operations teams to resolve remittance exceptions or system discrepancies
Experience in supporting onboarding of new customers with tax account setup, registrations, and authorizations
Skill in establishing and verifying system access in MasterTax for filing and remittance
Experience in working directly with federal and state taxing authorities to resolve issues related to filings, payments, penalties, and notices
Ability to research and respond to IRS and state agency notices, including incorrect filings, penalties, or payment discrepancies
Experience in assisting in transitioning customers from manual payment methods to electronic remittance
Ability to maintain compliance documentation and audit-ready records within MasterTax
Experience in supporting quarterly payroll tax filings through MasterTax with federal and state agencies
Skill in assisting with year-end compliance activities, including preparation and filing of W-2 and 1099 forms
Ability to ensure accuracy during peak reporting periods and support reconciliation efforts
Experience in addressing non-routine, customer-specific payroll tax issues
Ability to conduct research on tax regulations, filing requirements, and agency correspondence
Skill in collaborating with customers to identify root causes of issues and implement corrective actions
