Legal Assistant - Financial Services Floater
Winthrop & Weinstine, P.A. is seeking a knowledgeable and driven Legal Administrative Assistant to work in their Financial Services Department with the Solar Finance Team. The role involves providing administrative support to attorneys and paralegals, including drafting documents, organizing files, and maintaining communication with clients.

Responsibilities
Draft and format professional correspondence and documents
Review, organize, assemble and scan documents
Prepare, circulate and track signature pages
Create and help maintain closing checklists
Assist and maintain checklists in the preparation of closings
Process and transmit client documents and materials
Review, edit and finalize attorney time entries
Process and distribute invoices
Organize and maintain electronic files and process new file openings
Provide administrative support such as calendar and email maintenance, answering phones and making travel arrangements
Calendar important deal closing dates
Provide quality, responsive customer service to clients and co-workers
Act as a liaison between attorney and client, facilitating communication and transmittal of necessary information
Advise and communicate regularly with team regarding status of client matters
Open client files
Process invoices and reimbursements
Process document comparisons
Complete other projects and assignments as assigned
Qualification
Required
Strong attention to detail, accuracy; excellent grammar, proofreading and communication skills
Dependable, accountable, and consistently demonstrating a strong work ethic with a professional demeanor in all interactions
Strong interpersonal relationships and ability to interact with all levels of the organization
Ability to work well under pressure with deadlines – possess a sense of urgency
Ability to work in a fast-paced environment with a variety of personalities and work styles
Ability to be flexible in schedule and adaptable to constant change
Ability to effectively handle multiple tasks and frequent interruptions
Job duties may require time over 37.50 hours per week
Excellent computer and communication skills
Advanced proficiency in Microsoft suite
Excellent grammar, proofreading skills, and a keen eye for detail, ensuring high levels of accuracy in all written communications and document preparation
Ability to organize, prioritize, and manage multiple tasks effectively, ensuring completion of assignments despite frequent interruptions and changes in schedule
Preferred
At least one year of legal administrative assistant experience in a law firm preferred
Experience in working with Renewable Energy
Experience in a legal office
Experience in providing administrative support functions
Experience with the following software: iManage, InTapp
