Assistant Meeting Planner
The N.C. Department of Information Technology is seeking a highly organized Part-Time Meeting Planner to support statewide training programs focused on Special Victim cases. This role is critical in ensuring high-quality training for prosecutors and allied professionals, managing logistics, and coordinating events effectively.

Responsibilities
Coordinate logistics for in-person, virtual, and hybrid training programs related to Special Victim prosecutions
Assist with planning conferences, workshops, and meetings, including venue coordination, room setups, catering, audiovisual needs, and accessibility considerations
Manage registration processes, attendee communications, and event materials
Coordinate travel arrangements and lodging for speakers, faculty, and staff as needed
Submit CLE sponsor applications and attendance documentation
Work closely with Conference staff, trainers, and subject-matter experts to support training goals and timelines
Prepare agendas, schedules, participant packets, and training materials
Assist with post-training tasks, including evaluations, attendance tracking, and reporting requirements
Serve as a point of contact for training participants, speakers, vendors, and partners
Communicate clearly and professionally with prosecutors, law enforcement, and allied professionals statewide
Maintain organized records related to training events, vendors, and expenses
Assist with tracking expenses and maintaining documentation in support of grant-funded training programs
Support compliance with applicable grant and reporting requirements
Help identify opportunities to streamline processes and improve the training experience for participants
Qualification
Required
Graduation from high school or high school equivalency certificate and two (2) years of legal secretarial experience

Skill In organization, scheduling, and attention to detail
Skill In clear written and verbal communication
Skill In managing multiple projects and deadlines simultaneously
Skill In proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and virtual meeting platforms
Ability To work independently while collaborating closely with a team
Ability To anticipate needs and proactively solve logistical challenges
Ability To maintain professionalism and discretion when supporting sensitive subject matter
Ability To adapt to changing priorities in a fast-paced training environment
Ability To travel in-state for trainings (some overnight travel required)
Preferred
Experience planning meetings, trainings, or conferences
Experience supporting legal, law enforcement, victim advocacy, or nonprofit organizations
Familiarity with grant-funded programs is a plus
Strong customer-service mindset and comfort working with diverse stakeholders
