Document Support Specialist

HireArt is helping our client find a Document Support Specialist to join its Procurement and Logistics team. In this role, you will support the creation, accuracy, and ongoing maintenance of critical internal documentation across the organization, working closely with cross-functional teams to ensure compliance and alignment with company standards.

Responsibilities

Prepare payments, review and approve invoices, payment orders, and the submission of ready-for-payment requests to Accounting and Treasury in line with established procedures
Monitor approval workflows by reviewing, formatting, validating accuracy, and ensuring compliance
Control payment timelines, analysis of payment rejections or returns, and resolution of comments and issues to ensure a smooth and timely payment process
Create, update, and maintain internal documentation, templates, and process guides across multiple business functions
Ensure all documents meet company standards for branding, formatting, clarity, and version control
Maintain document repositories and knowledge bases in tools such as Notion, Google Workspace, and internal platforms
Support Procurement and Logistics teams by documenting workflows, vendor processes, onboarding materials, and compliance requirements
Ensure documentation is audit-ready and aligned with internal controls and regulatory expectations
Support cross-functional projects that require structured documentation or procedural guidance

Required

3+ years of experience in documentation support working with ERP systems
Strong proficiency in Oracle, NetSuite, and ZIP
Clear understanding of the end-to-end process from procurement to delivery in international companies
Strong communication skills and the ability to work with technical and non-technical teams
Ability to work independently, prioritize effectively, and manage multiple document pipelines
Comfortable working in a dynamic, fast-changing environment
Team-oriented mindset with a proactive approach to improvements

Preferred

Experience in a technology, engineering, logistics, or manufacturing environment
Exposure to procurement or supply-chain documentation processes
