Administrative Specialist 1/Trainee 1/2 - NY HELPS

The New York State Insurance Fund (NYSIF) is seeking an Administrative Specialist to assist with onboarding new hires and managing various administrative tasks. The role involves supporting managers with orientation, scheduling interviews, overseeing security staff, and participating in workplace safety programs.

Responsibilities

Assist with onboarding new hires
Work with NYSIF managers to set up day one orientations
Work with Property Services on badging, processing new hire paperwork, completing I-9 verifications and assisting with periodic audits
Schedule interviews for on-site managers as needed
Attend local career fairs
Assist with resume screening
Other occupational duties as assigned
Manage, train, and assist security staff as well as manage biannual fire drills
Participate in the annual workplace violence and building safety program including report to employees
Assisting fellow property services team members on day-to-day operations and employee requests
Oversee day porter services, and Landlord provided services
Manage/Oversee both small and large capital projects
Assist in record keeping and timely reports

Required

Reachable for appointment to journey level on current Civil Service eligible list used for filling this title; OR
One year of permanent competitive class service in a title eligible for transfer under Section 52.6 or 70.1 of the Civil Service Law. Titles eligible for transfer include but are not limited to: Contract Management Specialist 1, Human Resources Specialist 1, Senior Administrative Analyst, Policyholder Services Representative 1, Claims Services Representative 1; OR
Six years of experience performing or overseeing budget, human resources, and business services activities for an organization or program
Reachable for appointment to Trainee 1 level on current Civil Service eligible list used for filling this title; OR
One year of permanent competitive class service in a title eligible for transfer under Section 52.6 or 70.1 of the Civil Service Law. Titles eligible for transfer include but are not limited to: Administrative Assistant 1, Office Assistant 3, Program Aide, Claims Services Representative Trainee 1; OR
Four years of experience performing or overseeing budget, human resources, and business services activities for an organization or program
An associate degree may substitute for two years of experience; a bachelor's degree may substitute for four years of experience; a master's degree may substitute for five years of experience; and a doctorate may substitute for six years of experience
