Loading Dock Manager

The Loading Dock Manager oversees the daily operations of the museum's loading docks, ensuring efficient movement of shipments and collaboration with various departments to maintain operational excellence.

Responsibilities
Oversee daily loading dock operations, including scheduling deliveries and shipments, scheduling and allocating dock space, and coordinating with museum departments and delivery service providers
Inspect incoming and outgoing shipments for accuracy, damage, and proper documentation
Maintain accurate shipping and receiving records, ensure all loading and unloading activities are conducted efficiently, safely, and in compliance with museum policies and industry standards
Maintain a clean, organized, and secure loading dock area, inspect equipment including levelers, doors, forklifts etc. and promptly report needed repairs
Coordinates closely with museum departments to ensure the safe and secure transport of the museum collection and loaned artworks to and from the loading dock, ensuring adherence to specialized art handling protocols, and using appropriate equipment and materials
Implement performance improvement processes to continually monitor and improve KPIs including reducing wait times and product damage, and optimizing throughput
Manages tracking of inbound artworks and other materials passing through the loading dock to their final destination
Collaborate with Museum Security department to ensure loading dock security protocols are integrated with the overall museum security plan, including monitoring surveillance equipment and responding to incidents
Maintain compliance with applicable safety regulations and protocols, including Cal-OSHA and museum-specific guidelines, provide training and enforce safe work practices
Work closely with curators, registrars, exhibition designers, and other museum staff to coordinate logistics and meet exhibition timelines
Maintain clear and timely communication with museum departments, transportation companies, vendors, and other external partners to ensure smooth operations
Resolve any issues or discrepancies related to shipments or deliveries in a timely and professional manner
Attend meetings as required to communicate updates, address concerns, and participate in planning processes
Qualification
Required
5-7 years of proven experience in dock or warehouse management, preferably in a museum, gallery, or high-security environment
Experience operating and maintaining material handling equipment, such as forklifts and pallet jacks, and holding a valid forklift certificate
Excellent organizational, communication, and interpersonal skills
Ability to work independently and as part of a team, demonstrating strong leadership and interpersonal skills
Proficient in using relevant computer software, including warehouse management systems and inventory control software
High school diploma or GED required, bachelor's degree in logistics, supply chain management, museum studies, or related field preferred
Strong understanding of logistics operations and shipping/receiving processes
Ability to lift up to 50 lbs. and work in fast-paced, physically demanding environments

Preferred
Bilingual (e.g., English/Spanish) is a plus
Knowledge of DOT, Cal-OSHA, and HAZMAT regulations
Knowledge of museum art handling best practices and security protocols
Multi-language fluency preferred
