The Office Administrator will offer clerical support, greet patients, manage appointments, and maintain patient confidentiality to ensure smooth operations of the center.

Responsibilities

Greets and orients all patients, visitors, and staff who enter the building

Answers incoming calls in a warm and welcoming manner

Maintains neat and orderly reception area

Maintains awareness of patients, visitors, and staff who are in the building

Reaches out to families to schedule family therapy appointments and outpatient psychiatrist appointments

Provides intake to new clients, verifying the accuracy of demographics, insurance, completion of forms and organizational data to be entered in the chart in a timely manner

Maintains patient charts according to confidentiality standards and policy. Maintains all patient’s, visitor’s, and staff’s confidentiality according to HIPAA requirements and Compass policy

Utilizes Electronic Medical Record system as needed to verify patient appointments and to schedule appointments for clinicians and/or outpatient psychiatrists with patients

Obtains payment methods for program or outpatient appointments. Collects payments and issue receipts for outpatient psychiatry and/or therapist appointments rendered

Opens and closes facility in a timely manner in accordance to procedure

Performs clerical duties to ensure efficient operations of the center to include computers, office equipment, copiers, fax, scanner, postage equipment

Performs other related duties as assigned
