Responsibilities

Dedicated support/partnership to one or more Sr. Executives (SVP+) including e-mail inbox support and/or management, calendar management, travel and expenses and correspondence on behalf of executive
Provide others (e.g., influencers, prospective clients, team) with relevant information and resources on a reactive or proactive basis, follow-up at executive’s direction
Provide insight and additional context when necessary to assist in Executive’s decision-making
Act as key contact for/to executive while traveling, facilitate day-to-day contact via email and phone with team, the clients and influentials on executive’s behalf; model the executive’s high level of professionalism and customer service
Understand the deadline-driven and detail-oriented nature of the client and influentials’ business to provide value-added service and enhance the executive’s relationships
Own logistics new business presentations, marketing sponsorships, team building, etc. manage and secure key dates, and locations, including directions, and verifications, catering, transportation, lodging, dining reservations, venue resourcing, confirming attendance with participants, liaison with the internal teams ensuring the events success
May include reporting items, e.g., pulling, and analyzing reports on budgets, timesheet and compliance
Manage non billable team subscription purchasing
May research relevant or industry-specific data and information. Drafting/composing reports and editing/proofreading, as necessary

Qualification

Required

5+ years equivalent level of experience, preferably in a similarly fast paced and demanding environment
Knowledge of Microsoft office suite, including Teams, Word, Excel and PowerPoint
General knowledge of AI capabilities; willingness to learn and develop an understanding of how AI can be included in day-to-day work

Preferred

Strong grammatical and proofreading skills
Strong organizational and prioritization skills
Strong presentation and communication skills
Adept at creative problem solving
High degree of confidentiality in all aspects of role
Exceptional diplomacy and a proven ability to manage a variety of stakeholders
Must be able to work more than 40 hours per week on occasion
