Department Specialist III
General Atomics Electromagnetic Systems (GA-EMS) designs and manufactures first-of-a-kind electromagnetic and electric power generation systems. This position is responsible for providing direct administrative assistance to the managers and employees of the Tyngsborough, MA site, controlling visitor access, maintaining schedules, and supporting travel and expense reporting.

Responsibilities
Support the local staff with all administrative needs
Interfaces with management, staff, customers and visitors to gather and prepare information relative to the manager's functions
Coordinates schedules and ensures management is made aware of issues that need immediate attention
Handle all front desk administrative issues
Control visitor access
Coordinate with Security for all visits
Responsible for coordination and delivery of packages and mail
Answer telephones as needed
Order office supplies, coffee, water, catered lunches and other office related services
Utilizes P-Card for incidental material purchases
Plans, schedules and coordinates various organizational meetings and travel arrangements
Tracks progress of delegated staff assignments and may coordinate activities between departments
Maintains confidential and specialized files and/or records
Utilizes judgment in determining which tasks can be handled and which tasks need to be directed to the manager or to other members of the organization
Responsible for observing all laws, regulations and other applicable obligations wherever and whenever business is conducted on behalf of the Company
Expected to work in a safe manner in accordance with established operating procedures and practices
Other duties as assigned or required
Qualification
Required
Typically requires a high school diploma or equivalent and four or more years experience in a field related to the specialized functional area or unit where assigned
The ability to grasp new concepts quickly
The ability to maintain the confidentiality of sensitive information
Strong organization skills and the ability to establish priorities
The ability to identify issues, solve and respond to routine problems or situations that require interpretation
Strong analytical, interpersonal, verbal and written communication skills to accurately document, report
The ability to interpret and explain moderately complex information as well as the ability to communicate and interface
The ability to work effectively with all levels of personnel, including management, customers and vendors
Practical understanding of applicable policies and procedures as well as relevant regulations
Good knowledge of computer operations and applications such as Word and Excel
The ability to work both independently and in a team environment and the ability to work extended hours as required
Ability to obtain and maintain a DoD security clearance required
