Assistant to the Vice President for Student Success, Well-Being, and Belonging – NEW!

Hollins University is dedicated to academic excellence and is seeking an Assistant to the Vice President for Student Success, Well-Being, and Belonging. This role provides primary administrative support, manages day-to-day operations, and serves as a liaison with the President’s Office, ensuring efficient functioning of the division.

Responsibilities

Serve as the primary contact for SSWBB including foot traffic, phone calls, and general emails, making referrals as necessary
Supervise work-study students within SSWBB
Schedule appointments for the Vice President for Student Success, Well-being, and Belonging
Use judgement and independence to make changes to schedules and matters of support for the efficiency and effectiveness of the vice president and division
Track and monitor pending issues for follow-up
Independently draft meeting agendas for approval
Assist with organization and implementation of special events under the purview and responsibility of SSWBB or collaborating departments
Maintain budget records for vice president’s accounts
Organize budget reporting of SSWBB departments for review by vice president monthly
As needed, update specific information in Banner, Athena, Maxient, and/or other software systems used in supporting and serving students
Keep minutes for SSWBB senior leadership meetings (weekly), directors meetings (bi-weekly), and division meetings (monthly) as well as the Board of Trustees Committee on Student Success, Well-being, and Belonging (three to four times per year)
Organize and upload documents for university boards and student-related hearings and meetings
Design/complete word processing and computer projects (e.g., flyers, bulletins, newsletters, electronic media, correspondence) as needed
Update and maintain the web sites for SSWBB
Oversee day-to-day maintenance of facilities for the division, submit online work orders, and follow through on requests
Oversee multifunction device service, inventory, and supplies
Oversee filing system, ensuring confidentiality
Maintain office supplies for vice president’s office staff
Schedule major events and programming for SSWBB on the university calendar
Collect mail, disseminate mailings, keep and update mailing lists, and produce labels
Coordinate electronic mailings to students (new and returning) and families over the summer

Required

High school diploma or equivalent
Minimum of three years of related experience
Excellent written and verbal communication, customer service, and interpersonal skills
Excellent organizational, time management, multitasking, detail, and accuracy skills
Proficiency in Microsoft Office applications
Proficiency with multifunction devices
Ability to work in a fast-paced environment with constant interruptions
Ability to self-motivate and work independently and without supervision at times
Ability to work successfully, collaboratively, and congenially with office members within the division and across campus
Ability to prioritize multiple responsibilities, resolve problems, and adjust to change
Ability to demonstrate mature judgment, tact, and diplomacy
Ability to manage confidential and sensitive information and maintain discretion
Possess deep understanding of and commitment to working in and fostering a diverse, equitable, and inclusive environment
Ability and willingness to work early, late, and/or on weekends during special events (orientation, commencement, etc.)

Preferred

Two years of college
Previous experience in an administrative support role in higher education
Previous experience working in or managing a professional office setting
Previous experience with business communications, including style and format of letters, memoranda, minutes, reports, etc
Database experience
Ellucian Banner experience
Microsoft Publisher experience
Skills to use and manage professional social media platforms including, but not limited to, Instagram, Twitter, etc
Knowledge of and experience with Hollins University
