Responsibilities

Provide a variety of administrative assistance services: Compose correspondence such as letters, endorsements, memoranda and electronic correspondence from records or files maintained
Receive and review incoming mail and determine whether appropriate to call to attention of supervisor, to redirect to other organizational entities, or to handle personally by presenting response in final form
Prepare a variety of recurring and special reports, compiling data and obtaining required information. Advise internal and external stakeholders on all procedural and administrative functions related to reports
Resolve a variety of administrative problems related to staff actions and assignments
Establish and maintain office files, records, logs and manuals in accordance with specified file systems and office needs
Perform office automation duties
Serve as Information Receptionist
Receive visitors and refers each visitor to the appropriate person or office as appropriate and determined by local procedure
Distribute mail to appropriate staff members

Required

All academic degrees and coursework must be completed at a college or university that has obtained accreditation or pre-accreditation status from an accrediting body recognized by the U.S. Department of Education
You must be a U.S. Citizen or National
Initial appointment is conditioned upon a satisfactory pre-employment adjudication. This includes fingerprint, credit and tax checks, and drug testing. Continued employment is subject to a favorable adjudication of a background investigation
You must be registered for Selective Service, if applicable
If selected, you may be required to complete a one year probationary period
Time-in-Grade: Federal employees must meet time-in-grade requirements within 30 days after the closing date of this announcement
You must meet all qualification and eligibility requirements within 30 days after the closing date of this announcement and before placement in the position
To be qualified at the GS-5 grade level, you must have at least one full year of specialized experience equivalent to the GS-4 grade level in Federal service; or four years of education above the high school level; or a combination of both specialized experience and education
Specialized experience is defined as experience providing a variety of administrative functions such as sorting and distributing mail and packages; receiving telephone calls and visitors to the office; maintaining office files and records; and producing written documents utilizing office automation software
To be qualified, you must type at least 40 words per minute based on a 5 minute sample with three or fewer errors
