Payroll and Benefits Administrator

Responsibilities
Prepare, process, and review bi-monthly and monthly payroll for U.S. and Canadian employees, as well as global contractors
Ensure accurate calculation of wages, bonuses, commissions, and deductions in compliance with all applicable local, state/provincial, and federal regulations
Manage global contractor payments, including invoice tracking, payment scheduling, and adherence to tax requirements
Maintain compliance for all statutory payroll reporting (W-2, 1099, T4, ROE, etc.)
Reconcile payroll accounts, prepare journal entries, and support audits and year-end close processes
Maintain clean, well-documented payroll records, reconciliations, and audit trails
Provide timely, confidential support to employees regarding payroll, taxes, and deductions
Stay current on legislative changes affecting payroll across jurisdictions and recommend required updates
Administer payroll-related benefits for U.S. and Canadian employees, ensuring accurate deductions, employer contributions, and timely remittances
Manage U.S. benefits payroll processes including medical, dental, vision, life insurance, disability, HSA/FSA, and 401(k) plans
Manage Canadian benefits payroll processes including extended health, dental, life insurance, disability, RRSP or group retirement plans, and statutory benefits
Coordinate benefits changes related to onboarding, offboarding, life events, and open enrollment in partnership with People & Culture
Reconcile benefits invoices against payroll deduction and resolve discrepancies promptly
Build and maintain EDI feeds with carriers and review inbound and outbound file feeds for accuracy and compliance
Support compliance and reporting related to taxable benefits and employer contributions in both the U.S. and Canada
Serve as a point of contact for employees on payroll-related benefits questions, escalating plan-specific issues to brokers as needed
Work closely with the People & Culture team to maintain accurate employee and benefits data across HRIS and payroll systems
Partner with Finance leadership on payroll accounting, benefits reconciliations, and cash flow forecasting
Collaborate with external vendors including payroll providers, benefits brokers, tax agencies, and accounting firms
Identify and implement process improvements to enhance payroll and benefits accuracy, efficiency, scalability, and reporting
Qualification
Required
5-7 years of payroll and benefits administration experience, with hands-on exposure to U.S. and Canadian payroll and benefits
Strong understanding of payroll regulations, tax laws, employment standards, and benefits administration across the U.S. and Canada
Exceptional attention to detail and commitment to accuracy
Strong analytical, reconciliation, and problem-solving skills
Excellent organizational skills with the ability to manage multiple deadlines
Clear, professional communicator who collaborates effectively across teams
Preferred
global contractor experience preferred
Experience with modern payroll and HRIS systems (Rippling strongly preferred)
PCP, CPM, or similar payroll/benefits certification is a plus
