Sr Executive Assistant

The Sr Executive Assistant will provide high-level administrative support to three C-Level executives, managing their schedules, correspondence, and travel plans while ensuring effective communication throughout the organization.
Responsibilities
Independently provide high level administrative support to executives including managing calendars of appointments; completing expense reports; composing and preparing correspondence that may be confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
Plan, coordinate, and ensure the executives schedules are followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to executives’ time and office
Compose correspondence requiring knowledge of executives’ views, philosophy, and some understanding of technical matters, may sign for executive when technical or policy content has been authorized
Proofread and correct prepared materials for grammar, spelling, punctuation, format, syntax, and content
Requisition needed supplies, equipment, and repair and maintenance services through agency channels as needed
Work cooperatively with other administrative assistants and other employees at various levels throughout the organization
Welcome visitors, answers questions and meeting requests directed to executives
Summarizes content of incoming materials, specially gathered information, or meetings to assist executives; coordinates the new information with other sources; draws attention to important matters or areas of conflict
Respond to project requests that are of an administrative nature
Research, prioritize, and follow up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response
Provide a bridge for smooth communication between the executives’ offices and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff
Work closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the executives updated
Achieve high performance goals and meets deadlines in a fast-paced environment
Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Qualification
Required
College degree or equivalent experience plus minimum of five (5) years' related experience supporting C-Suite level Executives
Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
Proficient in Adobe Acrobat Pro
Knowledgeable in creating and updating complex organizational charts; preferably knowledge with Org Plus software
Exhibits strong interpersonal and organizational skills, great attention to detail as well as excellent listening, verbal and written communication skills
Must be able to work with a diverse variety of people from different cultures and backgrounds
Able to balance directing and influencing others with a service mentality and approach
