Responsibilities

Research new offerings and provide cost estimates

Finalize schedules, attendance, timing, and flow for each program

Troubleshoot space and scheduling conflicts

Accurately record client communication in Delphi FDC

Prepare proposals, estimates, addendums, and event orders

Coordinate food, beverage, AV, lodging, and space needs

Inspect event spaces before start times to ensure accuracy and quality

Lead and distribute weekly Program Briefs and event documents

Track and organize client requests, approvals, and vendor confirmations

Gather client feedback and communicate opportunities for improvement

Support billing accuracy and resolve issues promptly

Develop vendor relationships aligned with organizational strategy

Participate in weekly staff meetings and cross-department planning sessions

Maintain confidentiality of all campus and client information

Assist with hiring, training, and staff development as needed

Work holidays, evenings, and weekends as required
