Responsibilities

Correctly summarizes and documents what the physician verbalizes during an examination including but not limited to; proper charting of the examination, documenting additions to the chief complaint, assessment and recommendations for treatment including justification of decisions when appropriate and closing patient charts according to practice protocols and payer documentation standards in a timely manner
Prepares charts for new and established retina and uveitis patients for physician review
Performs accurate ICD-10 and CPT coding in patient charts in accordance with practice protocols and payer requirements
Observes the patient and physician and assists when appropriate during the exam, including but not limited to; aiding with the patient as needed, providing additional medications and/or instruments, and following directions in a medical emergency
Reinforces physician instructions by assessing patient understanding, monitoring verbal and non-verbal cues, repeating and clarifying information as needed, and providing written instructions and patient education materials to support safe and effective care at home
Prepares and maintains examination rooms to ensure patient safety and readiness for care, including cleaning, stocking supplies, preparing medications and instruments, and verifying equipment functionality according to the upcoming physician's preferences and clinic standards
Provides support to the clinic by performing Ophthalmic Clinic Technician duties as needed, including patient workup, assistance with injections and procedures, and ophthalmic diagnostic testing such as OCT, OCT-A, fundus photography, fundus autofluorescence, microperimetry, and B-scan ultrasonography when required
Coordinates uveitis-specific imaging workflows, including scheduling and patient preparation for diagnostic imaging and angiography as directed by the physician, and standardizing image pre-loading to support efficient physician review in alignment with clinic workflow
Maintains efficient clinic flow by coordinating scheduling and patient throughput, confirming insurance authorizations prior to treatment, communicating daily schedule changes to physicians, prioritizing acute visits with attention to the timing requirements for uveitis therapies and intravitreal injections, and guides patients to the front desk to ensure follow-up appointments and testing are arranged before the patient leaves
Understands and utilizes the drug inventory system including but not limited to: dispensing and removing medications; performing end-of-day drug inventory counts; and running basic reports, particularly for uveitis-related medications and implants
Coordinates diagnostic workups under physician direction, including laboratory testing and imaging, and tracks completion of these studies
Triages patients when scheduled
Supports systemic therapy and biologic medication workflows by maintaining updates medication and safety lab results as directed by the physician
Helps coordinate multidisciplinary care by communicating and exchanging information with referring providers and external stakeholders
Assists with generation and distribution of timely visit summaries and letters to referring providers for new and established retina and uveitis patients in alignment with existing workflow
Participates in quality improvement efforts
Able to perform on-call duties with assigned physicians after hours and on weekends, as needed, for uveitis and retina patients
Travel between clinics required
Performs other duties as assigned

Required

High school diploma or equivalent required
At least 6 months' experience in a medical office, preferably an ophthalmology or optometry practice
All applicants considered for this role must be able to travel to other nearby locations

Preferred

Knows required components of the ophthalmic examination for appropriate CPT coding to ensure all elements are accurately completed and documented
Understands Medicare and other common insurance requirements for quality reporting in order to help the practice comply with payer requirements
Training and understanding of HIPAA requirements and the importance of maintaining patient confidentiality
Demonstrates strong professional interpersonal skills, excellent verbal and written communication abilities, and a team-oriented approach to patient care
Ability to multi-task and prioritize in a high-volume, multi-site specialty environment
Strong organization with attention to detail
Computer literacy, including with EHRs, practice management systems, and basic office software
Ability to spell accurately while charting
Basic math skills
Ability to educate patients regarding instillation of eye drops, systemic medication instructions, and other aspects of the physician's treatment plan
Understanding of medical terminology and/or ophthalmic terminology
Fluency in English and Spanish (Required)
