Member & Guest Services Coordinator
The City of Glendale's Parks and Recreation Department is seeking a Member and Guest Services Coordinator to support the Recreation Supervisor. This role involves overseeing guest service operations, coordinating front desk activities, and ensuring a positive customer experience while promoting membership growth and retention.

Responsibilities
Determines priorities, assigns work schedules and monitors the work of subordinate staff. Approves time in time and labor system
Trains staff and prepares performance reviews
May prepare council agenda reports and other reports, including various attachments, and then upload them into the Granicus system
Supervises complex records management system(s) specifically related to assigned area
Respond to citizen inquiries and ensure that information is provided
Administers and monitors budget(s) for related work areas. Monitors budget accounts to include membership fees, subscriptions, professional development training, office supply purchases, and professional service
Coordinates completion of committee agendas, meeting minutes and other management related reports
Administers contracts, agreements and legal documents for the department
Schedules and coordinates Board and/or Commission meetings or hearings. May be assigned as Board and/or Commission Coordinator
Resolves difficult and sensitive citizen inquiries and complaints pertaining to violations, policies and procedures
Responds to situations requiring extensive knowledge of city ordinances and policies
Answers questions to a variety of inquiries, over the telephone, and in person, to provide information on policy, procedure, and resolve questions or problems relating to area of assignment
Compiles and maintains a variety of fiscal records and/or documents
Creates and maintains accurate complex records, databases, and integrated filing systems containing various subject matters in order to provide easy access to records information
Participates and assists in the administration of program functions and activities in the office to which assigned
Prepares and reviews material for action and initiates final distribution of records, files, or information
Schedules meetings, appointments, and conference room bookings; maintains electronic calendars for executive level management of area assignment
Coordinates activities with other City departments, the general public and outside agencies; arranges meetings, conferences and civic functions; makes travel arrangements for staff
May prepare Personnel Action forms as needed
Creates agendas, attends meetings, takes and posts minutes, and transcribes as necessary; or acts as secretary to a Board or Commission
Establishes, organizes, and maintains paper and computerized filing systems; orders and maintains office supplies
Depending on assignment, may be asked to lead a team or project. In this role, may be asked to coordinate daily activities of subordinate staff
Performs other related duties as assigned
Qualification
Required
Three years of progressively responsible experience providing moderately complex administrative support and management assistance, preferably working in a similar role and department
One year of supervisory or lead experience
Knowledge of principles and practices of employee supervision, training, and evaluation
Knowledge of Microsoft Office products and other relevant technologies
Knowledge of record keeping practices and procedures
Knowledge of customer service procedures and techniques
Knowledge of standard office practices and procedures
Knowledge of alphabetizing and filing systems
Ability to plan, organize, and coordinate activities of staff
Ability to respond to requests and inquiries tactfully and courteously
Ability to keep and maintain complete and accurate records and filing systems for easy retrieval of information
Ability to communicate effectively both orally and in writing
Ability to accurately proofread numerical and text data
Ability to operate a computer and related software and demonstrate proficiency to prepare work orders, documents, spreadsheets, databases, email and timesheets
Ability to perform informational research involving the compilation of data
Ability to explain policies, rules and regulations to employees
Ability to establish and maintain effective working relationships
Preferred
Associate Degree in Business Management or related field preferred
Coursework or degrees in recreation administration, sports administration, physical education, or a related field

The City of Glendale offers a generous benefits package with competitive rates that become effective on the 1st of the month following 30 days of employment.
The City of Glendale observes 10.5 holidays per year, and full-time employees are also granted an additional 12 hours of holiday special leave to celebrate their cultural or religious holidays throughout the calendar year.
Vacation leave accrues at: + 5.33 hours per pay period (138 hours/17.25* days per year) + Increases to 6.12 hours after 5 years + Then caps out at 7.6 hours after 10 years of service.
Sick leave accrues at 4.4 hours per pay period (114 hours/14.25 days* per year).
This position participates in the Arizona State Retirement System (ASRS). * The current contribution rate is 12%. * Contributions are mandatory, and are collected each pay period.
