Senior Executive Administrative Assistant
Cokinos | Young is a well-known firm specializing in construction law and offering a broad array of legal services. The firm is seeking a C-level Senior Executive Assistant to support the Chief Executive Officer and Managing Partner, involving a blend of litigation support and administrative responsibilities.
Responsibilities
Provide comprehensive administrative support to senior litigation attorneys and firm leadership
Oversee and maintain complex calendars, scheduling court appearances, hearings, depositions, mediations, and trials efficiently
Prepare, proofread, and format various legal documents, including pleadings, motions, discovery papers, subpoenas, correspondence, and exhibits
Coordinate and proficient in efiling of documents with state and federal courts
Monitor litigation deadlines, statutes, discovery timelines, and court rules to ensure compliance
Maintain and organize both physical and electronic case files systematically
Liaise with courts, opposing counsel, clients, vendors, and experts to facilitate smooth communication
Assist in trial preparation, including organizing exhibits, binders, witness lists, and logistical details
Handle confidential and sensitive information with utmost discretion
Manage travel arrangements and expense reports for attorneys
Draft and oversee correspondence and internal communications
Support client intake processes, engagement letters, and conflict checks as required
Accurately maintain and enter billable time entries for attorneys
Communicate effectively with clients and colleagues to foster strong relationships
Assist with trial preparation and conduct relevant research
Transcribe, prepare, edit, and proofread legal documents and communications effectively
Organize legal documents in the document management system for easy access
Prepare outlines for documents, such as motions and petitions
Schedule court hearings, depositions, and other legal proceedings promptly
Maintain the attorney calendars with precision
Source and verify crucial case intelligence as needed
While familiarity with construction law and liens is a plus, it is not a requirement
Answer phone calls and emails professionally, take notes/messages, and redirect them when appropriate
Keep accurate financial and payment records and financial spreadsheets
Coordinate work with other staff members as needed
Qualification
Required
8+ years of experience as an Executive Assistant or Legal Assistant in a law firm setting and/or significant exposure to high-level leadership
Sensitivity to confidential documents and information
Strong understanding of legal terminology, court procedures, and filing requirements
Advanced proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint
Experience with legal practice management and document management systems
Exceptional organizational, time management, and multitasking abilities
Strong written and verbal communication skills
Ability to work independently, prioritize tasks effectively, and meet strict deadlines
Proven experience in a professional office setting
High standards of client service
Ability to prioritize tasks and meet deadlines
Independent in accomplishing routine tasks
Excellent team player
Ability to multitask while maintaining a high degree of attention to detail and accuracy in a fast-paced environment
Preferred
Significant litigation experience in both state and federal courts
Notary Public certification
Familiarity with document management software
