Administrative Assistant (Temp to Hire)
Red Envelope Consulting is seeking a front office Administrative Assistant to join our client on the North side of Indianapolis. This temporary role involves ensuring the smooth operation of the office, providing hospitality, and supporting various administrative tasks.

Responsibilities
Act as the first point of contact in greeting visitors as they enter the office while creating a high level of hospitality and attention to detail
Answer incoming calls, greeting callers, providing information, transferring calls and/or taking messages as necessary
Build loyalty with guests and co-workers by creating a gracious and welcoming environment in all interactions
Manage coordinate and communicate with facility related vendors
Assist with employee-related events, i.e. ordering gifts, distributing cards, talent and culture events, office moves and set up
Prepare for new hires by organizing new office, ordering supplies, activating parking and office suite fob, coordinating computer set-up, and any other preparatory tasks
Manage scheduling, preparation, and cleanup of conference rooms and social hub
Monitor, order, and stock office supplies, beverages, snacks, coffee maker, and other supplies needed
Arrange, organize, and keep stock count of storage room supplies
Order meals and catering service for company meetings and lunches
Open and review all incoming mail; make deliveries as needed; office related errands as needed
Maintain an overall 'crisp' office environment
Book, manage, and track travel details as needed
Notarize documents as requested
Manage Concur expense reporting
Proactively plan, organize, and implement events such as meetings and luncheons
Complete correspondence including email, memos, mail and shipping services
Support administrative team with special projects and back up as needed
Update reports, run reports, system updates, roll out new modules, and general data entry
Manage IT support for conference rooms, wi-fi, and troubleshoot any other technology issues office wide
Qualification
Required
Bachelor's degree is highly desired with at least 2 years of hospitality/administrative experience
Highly proficient in MS Word, Excel and PowerPoint
Must have a high attention to detail and a strong ability to multitask in a fast-paced environment
Ability to switch gears in a moment's notice
This position is in office M-F between the hours of 8:30AM – 5PM
Qualified candidates must be legally authorized to be employed in the United States
