Exec Admin & Operations Coordinator
Calm and Collected Music Group is a creative hub founded by visionary artists, focused on curating uplifting music across diverse genres. They are seeking an Executive Administrator / Operations Coordinator to manage calendars, coordinate communication, and handle day-to-day administrative tasks while supporting the founders and organizational operations.
Responsibilities
Manage and coordinate complex calendars for multiple executives
Schedule meetings, prioritize requests, and ensure leaders are prepared and aligned
Serve as a point of contact and liaison between executives and internal/external partners
Handle follow-ups, task tracking, and execution of day-to-day requests
Own recurring administrative and operational tasks (payments, approvals, tracking deadlines)
Assist with payroll-related coordination and administrative follow-through
Manage merchandising logistics, including approvals, payments, and coordination with vendors
Oversee small but critical operational details that currently consume executive time
Support leaders across multiple business lines (music, tech, wellness, live, hospitality)
React quickly and competently to new initiatives as they arise
Help create structure and organization around evolving projects and priorities
Qualification
Required
3 or more years of experience in executive admin support, office management, operations, or a junior chief-of-staff–type role
Experience supporting senior leaders or founders
Strong computer skills in G Suite, Office and various SaaS environments
Prior experience in accounting and budgeting support
Strong communication skills and sound judgment
Trustworthy, hardworking, and self-directed, anticipating the needs of executives and other stakeholders
Comfortable handling sensitive information and financial/administrative tasks
Preferred
Background in music business a plus—experience in tech, startups, media, or professional services is also welcome
