Responsibilities

Assists the department in managing expectations surrounding pre and post patient care
Provides guidance and support to Clinical Business Operations Representatives and assists with training and continuous improvement
Obtains or reviews all patient demographic information, insurance information and referral numbers
Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information
Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software
Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs
Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice
Provides coverage for responsibilities of co-workers when assigned or as need arises
Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis
Maintains confidentiality of all information
Adheres to University and unit-level policies and procedures and safeguards University assets
Manage phone calls from patients using NICE system
Schedule appointments with multiple divisions within the department
Assists in scheduling images appointments for patients
Assists in prior authorization paperwork for external imaging
Contact patients as directed by the physician/providers when necessary
Prepare doctors clinics at least 2 business days in advance for assigned physicians
Obtains consent for Medical Records Information upon other facilities request for medical records
Process In-Basket thoroughly in EPIC
Manage MYCHART patient messages
Responsible for intake patient related calls for physicians assigned and documenting accordingly any pertinent information and instructions given by provider and the consequent actions taken
Processes and assists with responding to all patient related requests and UChart In-basket messages for assigned pools/providers
Responsible for physician’s schedule to coordinate academic and patient related activities. Monitors clinical schedule for providers to ensure accuracy of number and types of appointments. Review no shows and cancelled appointments as per department policy
Follow-up on all results requiring appointment scheduling for area of responsibility including but not limited to all lab work, pathology and ancillary testing such as mammograms, ultrasounds, MRIs as directed by providers. Also follow up on any necessary referrals to specialists, procedures as requested by providers. Submit requests as needed for any authorizations/referrals for these follow up appointments and procedures
Responsible for coordination of all physician surgeries and inpatient admissions according to departmental protocol. Coordinate and ensure receipt of financial and medical clearance for surgery and other duties as assigned
Submission of PLR’s for approved time off for providers

Required

High school diploma or equivalent
Minimum 3 years of relevant experience
Skill in data entry with minimal errors
Ability to communicate effectively in both oral and written form
Ability to work evenings, nights, and weekends as necessary
Skill in collecting, organizing, and analyzing data
Ability to work independently and/or in a collaborative environment
