Administrative Assistant, Outpatient Rehab

The Administrative Assistant in Outpatient Rehab will support the daily operations of the Physical Therapy Administrative Department, assist with marketing tasks, and manage various administrative responsibilities.

Responsibilities
Provides support and back up to the Practice Administrator and other Administrative Team members, primarily within Marketing and Operations
Responsible for assisting in completing weekly/monthly statistical analysis reports
Assist with creating content for social media as well as scheduling social media posts
Monitor and maintain social media pages as needed
Answers phone calls and directs to correct department or personnel
Responsible for monthly Press Ganey and Google Review patient satisfaction reports
Responsible for maintaining employee and clinic information on DataManager
Completes business cards, updates staff list, and maintains clinic frames for new hires and existing employees
Tracks and manages continuing education budget
Assists with marketing giveaway ordering as well as supply ordering
Assists with a variety of different projects within the OP Rehab department
Maintains confidentiality of all materials handled within the Network/Entity as well as the proper releases of information
Maintain Google accounts including data management updates, photos, and review collection for social media posts
Coordinate marketing materials for event and Marketing Liaisons
Facilitates orders for branding and marketing material such as but not limited to business cards, signage, and advertisements
Complies with Network and departmental policies regarding issues of employee, patient, and environmental safety and follows appropriate reporting requirements
Demonstrates/models the Network’s PCRAFT values during interactions with all customers
Demonstrates Performance Improvement in the following areas as appropriate: Clinical Care/Outcomes, Customer/Service Improvement, Operational System/Process and Safety
Demonstrates financial responsibility and accountability through the effective and efficient use of resources in daily procedures, processes and practices
Qualification
Required
Proficient with Excel and Word
Experience in organizing files
Data entry skills
Statistical analysis skills
Ability to answer and direct phone calls
Ability to track deadlines
Sitting for up to 8 hours per day
Consistent use of hands and fingers for typing, telephone, data entry, etc
Occasional twisting and turning
Ability to lift and carry up to 10 pounds
Ability to stoop, bend and reach above shoulder level to retrieve files
Hearing as it relates to normal conversation
Seeing as it relates to general vision
Visual monotony when reading reports and viewing computer screen
Preferred
Undergraduate degree preferred, with a major or significant course work in Business/Healthcare Administration and/or Marketing/Communications
Access database experience is helpful
