Business Operations & Financial Coordinator (Part-Time)

Swim Digital Group is seeking a Business Operations & Financial Coordinator to support the organization’s core financial administration and business operations. This part-time role involves managing bookkeeping processes, coordinating vendor relationships, and providing structured administrative support to executive leadership.

Responsibilities

Maintain accurate and timely financial records, including accounts payable, accounts receivable, invoicing, and general ledger entries using QuickBooks
Track expenses, monitor budgets, and flag variances for leadership review
Prepare monthly and ad-hoc financial summaries and reports
Coordinate with external accountants for reconciliations, filings, and financial reviews
Ensure financial procedures and documentation are followed to support compliance and audit readiness
Manage non-HR vendor and supplier relationships, including contracts, renewals, and service coordination
Support procurement of equipment and services, including tracking inventory and maintenance schedules
Identify opportunities to improve operational workflows and document processes
Maintain organized records of contracts, vendors, and operational documentation
Provide task-based administrative support to the CEO and COO on defined projects
Coordinate travel logistics, including flights, accommodations, and itineraries
Conduct research, prepare summaries, and organize materials for meetings and planning sessions
Track follow-ups and support the execution of key operational initiatives

Required

3–5 years of experience in operations, bookkeeping, or administrative coordination
Strong proficiency with QuickBooks or similar accounting software
Experience supporting financial reporting and working with external accountants
High attention to detail and strong organizational skills
Ability to work independently and manage recurring deadlines

Preferred

Experience supporting small or professional services firms
Familiarity with project management or workflow tools
Strong Google Workspace skills, especially Google Sheets
