Responsibilities
Maintain a friendly and approachable demeanor while handling customer concerns or complaints
Process new and existing customers, verify order and shipping information, and complete order entry, creating and maintaining customer and product records, ensuring data accuracy
Ability to handle complete order processing, including order entry, coordination with production and shipping, invoicing, and confirming client payment
Prioritize urgent orders and ensure timely communication across coordinating departments so production and shipping stay aligned
Ability to work with manufacturers, distribution centers, warehouses, and transportation providers, as well as monitor and maintain shipping schedules in coordination with the purchaser and production team promptly, addressing any delays or changes to protect deadlines
Utilize QuickBooks for order entry, invoicing, and tracking customer accounts
Collaborate with team members to improve delivery service and enhance customer satisfaction
Perform general administrative duties, including ordering office supplies, handling mail, data entry, filing, maintaining organized records, and basic bookkeeping tasks
Keep common areas such as the office, sample space, and break room clean and organized
Welcome and assist visitors, directing them to the appropriate contacts
Respond with professionalism and courtesy to incoming phone calls and ensure accurate rerouting
Strong skills in identifying and forecasting customer buying behavior to inform strategy and support business growth
Coordinate sample production and shipping as needed
Provide additional administrative assistance as needed
Qualification
Required
2+ years of previous experience in business-to-business customer service or office management
Strong phone etiquette and communication skills
Basic mathematical skills are necessary
Experience in QuickBooks is required
Proficient in Microsoft suite (Excel & Outlook)
Ability to multitask effectively while maintaining strict attention to detail and accurate documentation
Self-starter with the ability to work independently and adapt quickly in dynamic, fast-paced environments
Demonstrated skill in managing calendars, schedules, and follow-up tasks without oversight
A proactive attitude towards problem-solving and a willingness to learn new skills
Strong organizational skills with experience in calendar management
Position is In-Office 100% of the time worked (not remote or hybrid)
Preferred
Associate's degree or equivalent from two-year college preferred
Bilingual candidates are highly encouraged to apply to better serve our diverse clientele
HubSpot CRM (or equivalent) experience preferred
