This role is critical in securing HVAC parts, managing purchasing and POs, while ensuring timely coordination between technicians, vendors, dispatch, and customers.

Responsibilities
Securing HVAC warranty parts for systems
Working directly with manufacturers and vendors to:
Verify warranty eligibility
Order parts from factories or distribution centers
Track shipping and delivery timelines
Filing manufacturer warranties accurately and within strict deadlines to ensure reimbursement
Coordinating with dispatch, technicians, management, and customers
Creating and managing purchase orders (POs) for parts and materials
Monitoring and controlling purchasing to prevent unnecessary or incorrect orders
Sourcing and ordering hard-to-find parts
Supporting warranty credits, restocking, and post-job inventory reconciliation
Maintaining accurate records and documentation for parts, warranties, and purchases
Qualification
Required
5+ years of experience in HVAC parts coordination, purchasing, or a related role
Strong knowledge of HVAC parts, supplies, and warranty processes
Experience working with manufacturers, distributors, and vendors
Exceptional attention to detail
Strong time management skills with the ability to prioritize
Confidence communicating by phone, email, and internal systems
High level of comfort with computers, typing, and technology
Experience creating and managing purchase orders
Ability to work independently and stay organized in a fast-moving environment
Strong work ethic and self-motivation
