Responsibilities

Own and manage the CEO’s calendar with the Chief of Staff and PA team, prioritizing by impact, protecting focus time, and adapting quickly to shifting priorities
Build clear agendas and organize briefing materials for the CEO to ensure he is fully prepared for every meeting
Draft and compile pre-meeting materials with division and project leads; manage distribution and ensure the latest versions are on hand by engaging the right people
Prepare concise prep documents and face-sheet overviews for external introductions—titles, context, recent press—aligned to wider OBB objectives for the meeting
Send post-meeting follow-ups with updated, relevant materials, action items, and next steps; track progress across internal and external teams as needed
Draft and manage high-priority communications on the CEO’s behalf (e.g., emails, updates, decks) in his tone, leveraging meeting context and next steps to enable quick sends with minimal edits
Sit in on internal and external meetings at the CEO’s request (in-room or on Zoom) to capture decisions, responsibilities for next steps, and deadlines—and drive action items to closure
Conduct concise and clear check-ins with the Chief of Staff and CEO to communicate key updates, resolve scheduling conflicts, and ensure a smooth day-to-day
Act as a smart gatekeeper—filtering incoming requests and creating space for the highest-priority meetings
Manage logistics for all travel (personal and business)—domestic and international—across commercial and private flights, hotel bookings, car service, etc., with clear, accurate itineraries
Track travel changes and delays in real time and ensure smooth pivots when needed
Handle internal and external communications on the CEO’s behalf, maintaining professionalism and discretion across talent, agents, execs, and partners
Work closely with the Chief of Staff to track all CEO correspondence via text and email, and to prioritize, divide, and execute tasks and action items
Oversee and reconcile business expenses with clean and timely reporting
Maintain and refine an organized system for tracking expenses and provide regular reports to the CEO for approval
Manage professional gifting—proactively flagging upcoming key dates and sourcing ideas as needed
Coordinate and execute business events, dinners, and gatherings, overseeing vendor coordination, setup, and guest experience
Maintain confidentiality and handle sensitive information with care, trust, and professionalism
Anticipate needs and stay proactive—solving problems before they arise and helping the CEO operate at full capacity

Required

3+ years' experience in a high-volume EA position supporting senior leadership, preferably a CEO/Founder
Proven ability to maintain confidentiality and use the utmost discretion in every situation, as required
Must take direction, adjust to rapid changes, and provide thoughtful on-the-spot problem-solving while maintaining a positive, respectful, and professional demeanor
Ability to effectively collaborate with the CEO/Founder, other Executive Assistants, and other designees of the CEO
Knowledge of Los Angeles and the surrounding areas is required
Strong interpersonal, written, and verbal communication skills are required
Hyper-focusing on details and maintaining smooth workflows and scheduling is required
Highly proficient in Excel, Google Workspace (Gmail, Calendar, Drive, Docs, Sheets), Asana, HubSpot, and AI platforms (ChatGPT, Claude) required
Valid driver's license and reliable transportation required (mileage is reimbursable)

Preferred

Entertainment, sports, and/or hospitality industry experience is a plus
