mPulse is seeking a dependable Accounts Receivable (AR) & Billing Representative to manage collections, invoice submissions, and payment processing. This role is essential for maintaining accurate financial records and ensuring timely collections while supporting positive customer relationships.

Responsibilities

Monitor accounts receivable aging and identify past-due accounts

Initiate outbound collection efforts via phone, and email correspondence

Research and resolve payment delays, disputes, short pays, and deductions

Maintain accurate notes and documentation of collection activities

Escalate delinquent accounts in accordance with company policies

Work with Account Management to resolve account issues impacting payment

Reconcile customer accounts to ensure balances are accurate and up to date

Provide customers with invoice copies, statements, and supporting documentation as needed

Prepare and distribute AR aging reports and collection status updates

Ensure compliance with internal controls, credit policies, and applicable regulations

Post customer payments (ACH, checks, wire) and apply them to the correct accounts

Communicate with customers regarding discrepancies, and payment status

Resolve billing issues and short payments in a timely and professional manner

Support cash application efforts by matching payments to invoices, researching discrepancies, and communicating issues to the team

Provide support with issuing payment reminders and coordinating with internal teams on collections activities

Upload invoices to customer portals and ensure timely delivery based on customer requirements

Assist in the preparation, review, and distribution of customer invoices to ensure accuracy and alignment with contract terms

Support monthly, recurring, and ad hoc billing cycles by reviewing data, validating amounts, and identifying discrepancies

Respond to internal and external billing inquiries in a professional and timely manner

Work closely with Sales, Customer Success, and Finance to resolve billing discrepancies or customer concerns

Assist with maintaining accurate customer billing profiles and documentation

Help maintain documentation for billing processes and internal work instructions

Assist with data validation, reconciliations, and periodic billing audits to ensure data integrity

Participate in process improvement initiatives aimed at increasing billing accuracy, efficiency, and system automation

Assist with reporting needs such as billing summaries, customer listings, and invoice adjustments

Support Finance team during month-end close, year-end audits, and other administrative tasks as needed

Perform other duties as assigned to support Billing Operations and Finance team objectives

Required

1–3 years of billing, accounts receivable, or financial administrative support experience

Strong attention to detail with excellent organizational and time-management skills

Ability to manage multiple priorities in a fast-paced, deadline-driven environment

Strong written and verbal communication skills with a customer-first mindset

Proficiency in Microsoft Excel and office productivity applications

High school diploma or equivalent required

Must be authorized to work in the United States

Ability to sit or stand for extended periods and lift up to 10 pounds

Preferred

Proficiency with ERP or billing platforms such as NetSuite, Sage Intacct, or QuickBooks

Associate or Bachelor's degree
