Executive Assistant to the CEO
Traveling Coaches is a woman-owned company with a vibrant culture, seeking a confident Executive Assistant to join their growing team. This role requires extreme precision, discretion, and resourcefulness while providing comprehensive support to the CEO in managing their schedule and facilitating organizational leadership.

Responsibilities
Facilitate the CEO's ability to effectively lead the organization by assisting with special projects; designing and producing complex documents, reports, and presentations; and collecting and preparing information for staff and client meetings
Provide daily administrative support to the CEO by coordinating meetings, arranging appointments, managing the CEO's schedule, answering phones, prioritizing emails and phone calls, coordinating travel arrangements, preparing and filing documents, and performing other essential tasks as necessary
Heavy focus on email management including email review, action items and appropriate escalation
Coordination of all aspects of CEO’s life including personal, professional, philanthropic and business group’s needs
Assist the CEO in responding to messages and/or delegating communications to the appropriate department/person
Anticipate the needs of the CEO and ensure CEO is prepared for meetings by gathering and organizing documents, research, and notes
Research and interface with vendors, prepare for trade shows, and help develop sales and marketing collateral
Participate and contribute to company-wide strategic initiatives
Qualification
Required
Work independently as well as collaboratively
Power user in MS Office and related software for development of marketing collateral
Technical savvy with ability to input information with a high degree of speed and accuracy, but also retrieve data quickly
Strong interpersonal skills
Exceptional time management skills including ability to stay focused, complete tasks on time and know when to delegate
Effective communication skills (written and verbal) to speak and write professionally to executives, business partners, and clients
Ability to give clear instructions and work effectively with people at all levels in the organization
Decision making and problem-solving skills using out-of-the-box, imaginative thinking
Highly organized with exceptional ability to juggle many tasks and large quantities of information
Adaptability and comfortable proposing alternative solutions
