Responsibilities

Manage complex calendars, schedule meetings (virtual & in-person), prepare agendas, take minutes, and track action items
Act as the primary point of contact, screen and prioritize communications, draft correspondence, and ensure smooth information flow
Assist with technical projects, workshops, and team events, including logistics and vendor coordination
Arrange domestic/international travel and process expense reports accurately
Organize and maintain sensitive technical documents, reports, and presentations
Handle office equipment requests and assist with onboarding new technical hires
Compile data, create basic reports, and assist with presentations
Help execute strategic initiatives and identify process improvements for efficiency

Required

Associate degree required; Bachelor's preferred
3+ years in administrative support roles (Executive Assistant, Business Assistant), ideally in technology, engineering, or R&D
Proficiency in Microsoft Office Suite and collaboration tools (Teams, SharePoint, Google Workspace)
Exceptional organizational and time management skills
Strong verbal and written communication with attention to detail
Ability to handle sensitive information with discretion
Proactive, problem-solving mindset; able to work independently and collaboratively

Preferred

Familiarity with project management tools (e.g., Jira) and technical terminology
