Responsibilities
Reports to the Manager, Contracts Administration
Provides analysis and support to monitor contract compliance. Investigates problems related to compliance shortfalls, if needed, and develops reports or solutions
Maintains Supply Chain Services decision support databases, collecting data from various electronic sources such as, production systems in structured changes, semi-structured and unstructured form as well as collected paper documents
Performs data management and entry using the Materials Management Information System’s Contract Manager module
Compiles monthly trending reports for supply utilization and validates contractual changes and new contracts are working consistent with supply chain policies
Assesses value of new or renegotiated contracts identifying the best value from a cost/benefit perspective, including comparison of old pricing to new pricing, and cross reference of products
Provides Supply Chain managers with decision support generated data on as-needed basis that facilitates rapid decision-making
Utilizes financial and related databases to provide Supply Chain Management and others with necessary data for decision-making and operational performance analysis
Develops business cases for contract decisions maximizing the use of technology to aggregate volume manage data
Assists with the development and maintenance of a comprehensive contract management program and supports the portfolio of master products, equipment and service
Interacts with department managers in a professional manner. Works as a team members and makes sound decisions. Works well under pressure and meets multiple and sometimes conflicting deadlines
Coordinates “Vendor Review Meetings” with identified/specified suppliers
Demonstrates commitment to quality service and responsibility for addressing customer-service issues. Respects the dignity and confidentiality of patients and Medical Center information
Participates in the Value Enhancement programs to develop strategies, identify opportunities and implement cost saving projects/opportunities as needed. Works with Supply Chain Managers, committees and subcommittees providing reports and administrative support
Develops cost analyses in support of savings initiatives and Value Enhancement projects
Utilizes Supply Chain Services systems to assist with the validation of cost-saving initiatives and their expected impact on the general ledger
Assesses data integrity including MMIS item master, contract module, and e-commerce use
Provides counsel and support to the Purchasing staff, Supply Chain management staff, and other areas as identified to manage contract pricing and discrepancies
Researches and collects data from hospital departments as needed in support of Supply Chain needs
Develops procedures to ensure efficient administration of contracts, including appropriate filling and management and professional purchasing practices and techniques
Assists in maintaining and developing contents for the Value Enhancement intranet site
Assists with project management associated with contract implementation and communications
Assists with information gathering of contents for Supply Chain Services communications and distribution
Maintains a close working relationship with Strategic Services manager and Enhancement teams
Adheres to the Operation Excellence Standards of Performance and upholds the standards of performance of the Medical Center
Evaluates work assignments, set priorities and responds quickly and effectively to constantly changing priorities. Responds immediately in a positive manner when called upon for additional or special assignment
Conducts all Medical Center business with vendors and department heads in a highly professional and ethical manner
Performs other job-related duties as required
Qualification
Required
Bachelors Degree (BA,BS)
One (1) more years equivalent experience in business, healthcare, or related field analyzing data and making contracting recommendations and decisions
Familiar with Healthcare Material Management Information Systems and understanding of data extraction and management
