Responsibilities

Prepare, review, proofread, and process patent and trademark prosecution documents, filings, renewals, and correspondence
Support U.S. and foreign patent and trademark prosecution activities, including monitoring and managing all associated deadlines
Maintain and proactively monitor intellectual property docketing systems to ensure accuracy and timeliness
Coordinate daily correspondence with clients, outside counsel, foreign agents, and the United States Patent and Trademark Office
Track workflow of matters and escalate upcoming deadlines or issues to attorneys and paralegals as appropriate
Draft and proofread correspondence, transmittals, and related documents, ensuring precision and compliance with filing requirements
Create, organize, maintain, and close electronic and physical files in accordance with internal policies
Enter and review time entries and assist with billing review for accuracy
Process and track payments, reimbursements, and administrative requests
Provide administrative support related to oppositions, interferences, infringement matters, or IP litigation as needed
Deliver high-quality client service through professional communication and responsiveness

Required

3+ years of experience supporting patent and trademark matters in a law firm or professional services environment
Strong working knowledge of U.S. and foreign patent and trademark prosecution procedures and deadlines
Familiarity with current United States Patent and Trademark Office rules, filing requirements, and practices
Experience with intellectual property docketing or case management systems
Exceptional organizational skills with the ability to manage competing priorities and meet strict deadlines
High attention to detail with strong analytical and problem-solving abilities
Clear and professional written and verbal communication skills
Collaborative mindset with a strong sense of accountability and ownership
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
