Responsibilities

Provide continuous coverage of the phone system in receiving and forwarding calls
Conduct all calls with prompt, friendly and courteous service at all times
Verify visitor identity prior to allowing entry and ensure that all visitors have an escort prior to entering corporate offices. This includes government or regulatory officials
In the event that government or regulatory officials request entry to the offices, contact the appropriate manager immediately. If the appropriate manager cannot be found by phone, delegate an employee in the building to physically locate the appropriate manager as soon as possible. Follow written procedures filed at the front desk
Report any suspicious or potentially threatening visitor activity immediately to the Manager - Human Resources / Director - Human Resources or other corporate manager
Collect, sort and distribute all daily incoming and outgoing mail
Prepare outgoing mail with appropriate postage meter franking prior to mailing
Ensure that incoming mail is delivered to the appropriate persons in a timely manner
Assist various corporate office departments in performing various projects such as mailouts on an “as needed” basis (based on schedule availability)
Ensure that break room supplies are ordered and adequately stocked. Coordinate the workload of this activity with the HR Assistant. Maintain copies of invoices; invoices should be processed by the designated employee
Close and secure access to confidential computer and desk files during lunch and break periods
Maintain confidentiality of all exposure to sensitive and confidential information and/or activities
Assist with Corporate duties on an “as needed” basis

Required

High school diploma required; college degree in business studies preferred
Minimum of one (1) year of responsible administrative experience
Must be able to type at least forty (40) wpm
Excellent written, verbal, and interpersonal communication skills. Proven ability to communicate clearly and concisely. Must be able to greet people in a courteous and friendly manner at all times. Ability to take initiative and act as a self-starter
Must have a professional appearance
Demonstrated experience working with and maintaining confidential information
Basic Microsoft Office skills (particularly Outlook, Word, and Excel)
Ability to view video display screen 6-8 hours per day
Ability to use a computer keyboard 6-8 hours per day
Ability to sit at workstation for extended periods of time

Preferred

College degree in business studies preferred
