Responsibilities

Act as event main point of contact for all experiences within area, establishing relationships and lines of communication with business units, partners, and other exhibitors in assigned event area:
Participate in deliverable review calls for area, including (but not limited to) individual space reviews; provide input as relevant
Partner with Business Units, Sponsors, ACC, Freeman, Ops, Guest Control, Catering, Security, IT, and other stakeholders to ensure efficient communication and seamless operations. Assist Exhibitors with addressing any questions or concerns, including connecting with key contacts as needed
Gain visibility and understanding of all specific needs for spaces within area
Become a first point of contact for Business Units within area, working to answer questions but flagging more complex questions and necessary issues to Event Producer. Update Event Producer on Business Unit conversations as needed to ensure communication and consistency across event production and operations
Anticipate potential challenges and pro-actively problem solve with partners
Lead and primary point of contact for assigned area, ensuring load in, operation, and load out are on track:
Ensure that Business Units and Sponsors are prepared for event load in, operation, and load out. Connect them with key partners or facilitate information or discussion as necessary
Primary point of contact between Exhibitors and any facility needs
Partner with Business Units, ACC, Freeman, Ops, Guest Control, Catering, Security, IT, and other stakeholders to ensure efficient communication and seamless operations. Assist Exhibitors with addressing any questions or concerns, including connecting with key contacts as needed
Communicate with Event Management on progress, risks, and next steps and immediately flag items that may result in changes to scope, schedule, budget, contracts, and programming
Coordinate / troubleshoot all guest control needs with Exhibitors, Operations, and Security
Key communicator for changes / inform all parties (i.e. – schedule changes, new info, etc.)
Support daily opening and closing (clearing) of guests from area, ensuring that all exhibitors / area are show ready by designated time, exhibitors remain open until designated time, and all guests are clear at closing
Working with all Exhibitors, ensure that all items are loaded out of the venue by required time and double check that all spaces are clear
Participation in meetings, presentations, venue walk throughs
Participate in production meetings, site visits, vendor visits, and other planning meetings as needed
Participate in daily wrap-up meetings for load in and operations
Communicate with Event Management on progress, risks, and next steps and immediately flag items that may result in changes to scope, schedule, budget, contracts, and programming
Development and management of documentation and reports:
Working with key partners, track any onsite adjustments that may drive incremental costs, such as additional Ops, Security, or venue specific needs. Key partners responsible for tracking, but additional context and support is always helpful
Provide Daily Report for Area (template to be provided to Area Manager)
Provide after action notes and participate in after action meetings as requested

Required

Bachelor's degree in Event Management, Meeting Planning, Marketing, Business, Theater, or Communications or equivalent experience
Minimum of 5+ years of production management, stage management, event production, or equivalent experience
Knowledge of technical design / show production (staging, video, audio, lighting) event needs
Excellent verbal and writing communication skills
Strong leadership skills – can lead teams and give clear direction
Familiarity and / or strong use of Microsoft Office suite including Excel, Word, and Outlook
Good knowledge of the Disney brand, processes, and culture
Strong organization skills
Strong self-thinker, able to make smart decisions on the fly, self-driven
