Office Operations Manager

Responsibilities

Serve as a primary point of contact for customer and client inquiries
Manage customer support and training inquiries
Handle any order-related questions and work with the warehouse
Responsible for creating and maintaining customer invoices on Quickbooks
Managing past due payments, sending payment reminders
Assigning Tickets to respective departments and following through across stages
Placing orders with our warehouses and with external partners
Managing multiple Inventory and Loaner System Tracking Lists on Excel
Manage shipping logistics, including generating UPS and FedEx labels
Support the sales team with tradeshows logistics
Assist with budget tracking and financial reporting, work with the accounting department as needed
Support management in interview coordination and candidates follow up
Manage employee payout-related tasks
Onboarding and offboarding new employees logistics
Travel management including hotel and flight bookings confirmations
Event preparation
Overseeing employee travel expenses
List and Inventory Management
Liaison between different Departments and external partners
Manage press-related inquiries, acting as a key representative for the company

Required

Previous experience in the Wellness, Aesthetic, or Luxury Hospitality Industry required
Minimum of 3-5 years of experience in office administration and/or operations management
Proven experience in a similar administrative operational role
Ability to analyze, organize, and compile data while maintaining discretion and confidentiality
Proficiency in managing business software and enterprise systems
Experience managing multiple projects and tasks simultaneously
Exceptional organizational, multitasking, and problem-solving abilities, with the ability to work independently
Excellent communication and interpersonal skills
Legal authorization to work in the U.S. on a full-time basis without sponsorship

Preferred

Bachelor's degree in business administration or a related field
Experience with Quickbooks and CRM systems
