Cancer Registry Associate

Responsibilities
Performs case finding activities to identify new cancer cases by reviewing various data sources, including pathology reports, electronic medical records, hospital admissions, and diagnostic procedures
Enters, reviews, and maintains high-quality cancer registry data using specialized software, ensuring compliance with state, federal, and national cancer registry standards (e.g., NAACCR, SEER), OncoLog is a plus
Coordinates and facilitates tumor board meetings by organizing case presentations, compiling relevant clinical data, and ensuring communication among multidisciplinary team members
Collaborate with physicians, nurses, pathologists, and other healthcare professionals to resolve discrepancies and obtain missing information
Maintains up-to-date knowledge of cancer staging, coding guidelines, and registry policies, including updates from the AJCC and other regulatory bodies
Participates in research projects, data analysis, and reporting to support institutional cancer control programs
Supports quality control activities, including data audits and validation
Participate in training and professional development activities as required
Assists with monthly case finding procedures by generating reports, reviewing pathology reports, and generating suspense lists
Gathers reports and organizes data for CAP reviews by pathologists. Maintains spreadsheets and monitors compliance
Gathers reports and organizes data from multiple sources for Physician Quality Assurance in compliance with ACoS Standard 1.6, Cancer Registry Quality Control Plan. Maintains spreadsheets and reports variations
Researches patients through office computer applications, internet applications, manual procedures and various other sources to obtain required information. Contacts physicians’ offices, other registries and ancillary services to assist Certified Tumor Registrars (CTRs) in obtaining information required for case completion
Assists with the processing and distribution of follow-up letters to physicians, patients and secondary contacts
Assists CTR with maintaining follow up and lost records to maintain registry cases as assigned
Performs case findings and assists with data entry for QOPI (Quality Oncology Performance Improvement) as assigned in conjunction with UM SJMC Hem/Onc Practice
Performs data mining for metrics related to oncology outcome measures as assigned using electronic medical records and excel
Coordinates or delegates cancer case conference activities at UM SJMC and UMMS. Organizes patient clinical data for presentation and coordinates the distribution of this information with all participants and the Continuing medical Education (CME) office. Ensures case mix meets requirements
Maintains documentation required for case conferences as outlined in the Standards for ACoS. Ensures that physician representatives from the required disciplines attend and participate in case conferences and maintains attendance roster
Serves as a professional role model and maintains high personal standards for productivity, learning, cooperation, teamwork, responsiveness, communication and optimism
Performs all other related duties as assigned
Qualification
Required
High school diploma or GED is required
Associate degree or equivalent training in Health Information Technology/ Medical Records is required
Knowledge of and ability to ensure strict adherence to confidentiality and HIPAA regulations in handling patient data
Ability to stay current with cancer registry standards, coding rules, and regulatory requirements
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Ability to serve as a professional role model and maintains high personal standards for productivity, learning, cooperation, teamwork, responsiveness, communication and optimism
Basic knowledge of medical terminology and cancer staging
Familiarity with cancer registry software and data entry procedures
Strong attention to detail and organizational skills
Strong communication and interpersonal skills
Ability to work independently and as part of a team
Preferred
Certification as a Certified Tumor Registrar (CTR)/Oncology Data Specialist (ODS-C) strongly preferred or in progress
Experience in cancer registry and/or previous experience with medical record organization is preferred
Basic knowledge of personal computer and electronic medical record (EMR) experience is preferred
May require up to six months of detailed job orientation and training to gain specific capabilities to perform essential job functions
