Therapy Practice Office Manager

The Therapy Practice Office Manager will oversee the non-clinical operations of the medical therapy practice, ensuring efficient service delivery and financial performance.

Responsibilities

Manage the day to day activities of the therapy practice to successfully meet budgeted goals
Serve as first point of contact for all potential therapy students/patients – following up within 72 hours: Ensure completion and submission of all information/paperwork required for the therapy program (new referrals, medical info, etc)
Accurately input and scan all billing, medical and other client information into EMR
Manage and schedule appointments to optimize client satisfaction and facility efficiency ensuring all children receive authorized services; prepare superbills daily for therapists
Maximize revenue by ensuring all treatments have required authorization, plan of care, prescription, etc
Manage and schedule initial therapy evaluations and on-going scheduling of therapy treatments for the clinic
Complete and/or provide required statistics and data for reports
Manage the Plan of Care process (sending, receiving, tracking, follow-up)
Collect and post payments. Follow-up with outstanding payments to ensure accounts are in good standing
Assist in the hiring/on-boarding of new therapists and provide on-going support
Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences
Performs other duties as assigned

Required

Highly organized. Good follow through and ability to multi-task/prioritize
Excellent computer skills
Knowledge of HIPAA and confidentiality practices/policies
Knowledge of various funding/billing sources for therapy services
Sense of urgency and timeliness
Compassionate with excellent communication and customer service skills
Knowledge of medical reimbursement process
2-3 years experience in an administrative or related role of a medical office, health care operations, or therapy practice

Preferred

Prefer experience working with children and families with disabilities
Bilingual (English/Spanish) preferred
Associate degree in a related field or Medical Billing Certification strongly preferred
1 year of supervisory experience strongly preferred
