Texas Department Of Criminal Justice is seeking an Administrative Assistant IV for their Chaplaincy & Volunteer Services. The role involves performing complex administrative support work, coordinating with various organizational units, and maintaining filing and record-keeping systems.
Government Administration
Responsibilities
Performs advanced technical assistance work for an agency program; coordinates work with organizational units of the agency; and assists in the development and maintenance of administrative and technical assistance policies and procedures and manuals
Prepares and disseminates information concerning agency programs and procedures; prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; prepares, distributes, and maintains statistical reports; and performs complex typing and word processing
Maintains filing, record keeping, and records management systems to include an automated information system; and compiles and enters data for charts, graphs, databases, statistical summaries, and reports
Researches, composes, designs, and edits agency publications, forms, manuals, and reports; distributes technical program-related information; and provides liaison with agency staff, other agencies and organizations, and the public
Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access
Processes background checks for volunteers and ensures timely processing of volunteer applications; processes volunteer applications that require extensive background checks; responds to inquiries regarding the status of volunteer applications in the approval process; and reviews volunteer applications for final eligibility determination
Performs a variety of marginal duties not listed, to be determined and assigned as needed
Qualification
Required
Graduation from an accredited senior high school or equivalent or GED
Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience
Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date
Must meet and maintain TLETS access eligibility for continued employment in position
Knowledge of office practices and procedures
Knowledge of business terminology, spelling, punctuation, and grammar
Skill to communicate ideas and instructions clearly and concisely
Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public
Skill to interpret and apply rules, regulations, policies, and procedures
Skill in problem-solving techniques
Skill in the use of computers and related equipment in a stand-alone or local area network environment
Skill to prepare and maintain accurate records, files, reports, and correspondence
Skill to model the way for positive change
Skill to promote innovation and best practices
Preferred
Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs
Criminal Justice experience
Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations
Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs
Skill to type 45 words per minute (with no more than 10 errors) preferred
