Administrative Assistant

This role involves managing office functions, coordinating schedules, and assisting with reporting and data entry.

Responsibilities

Serve as the first point of contact for the department
Manage email inboxes, mail distribution, communications, and document archiving
Coordinate office support services including purchasing supplies and managing equipment
Prepare and format documents such as presentations, reports, proposals, and correspondence
Maintain filing and record‑keeping systems
Manage calendars, schedule appointments, and coordinate meetings and travel
Plan daily workflows and coordinate with other departments to ensure timely task completion
Support interdepartmental projects and assist with cross‑functional communication
Perform data entry and maintain accuracy within functional databases
Prepare reports, compliance documentation, and other data-driven materials
Conduct research and gather information for departmental initiatives
Utilize Power BI dashboards to review and interpret data
Complete expense reports and reconcile receipts
Receive and record funds; may issue receipts or perform basic cashier duties
Answer phone calls, research inquiries, and resolve issues using departmental knowledge
Build and maintain strong working relationships across the organization
Support mass mailings and outbound communications
Participate in special projects as assigned
Perform other administrative tasks as needed

Required

High School Diploma or GED required
Minimum 2 years of general office or administrative experience
Proficiency in Microsoft Office, including at least 1 year of experience with Excel
Skilled in creating impactful PowerPoint presentations
Working knowledge of Power BI (dashboard navigation and data interpretation)
Strong organizational, communication, and multitasking skills
Ability to lift, push, and pull up to 50 lbs repeatedly
High attention to detail and ability to maintain confidentiality
