Grocery Pick-up Supervisor – Drive Thru Food Pantry

The Grocery Pick-up Supervisor oversees the operations of a high-volume Drive Thru Food Pantry, ensuring efficient order fulfillment, volunteer coordination, and food distribution while promoting a dignified experience for all served.

Responsibilities

Supervise fast-paced, multi-faceted Drive Thru Food Pantry operations
Lead and execute real-time neighbor ordering and fulfillment of dry, refrigerated, and frozen products
Lead and execute daily setup, distribution, and teardown of large-scale pantry operations
Serve as the primary point of contact for volunteers and neighbors during Drive Thru Food Pantry operations
Treat all neighbors and volunteers with dignity, compassion, and respect
Ensure excellent customer service, including clear and timely communication
Train, supervise, and support volunteers daily; assist in developing volunteer and partner training materials
Supervise, hire, train, coach, motivate, manage performance, discipline, and evaluate direct reports
Operate PIT equipment in accordance with Gleaners and OSHA safety guidelines
Ensure compliance with all food safety and sanitation requirements, including GFB, Feeding America, AIB, USDA, ISDH, and other applicable regulations
Assist in managing the Groceries2Go platform, including inventory management, real-time fulfillment, and neighbor registration and ordering
Maintain accurate records and files in accordance with established systems
Collect, analyze, and provide data, reports, and operational insights as needed
Act as a backup for ordering functions for the Manager of Field Operations
Cross-train with and support other field operations programs, including Home Delivery and Gleaners2Go, as needed
Work collaboratively with internal departments and external partners to improve operational efficiency
Participate actively in staff, departmental, and organizational meetings
Provide input for organizational communications, including story bank submissions, newsletters, and website content
Collaborate with the Food Strategy Team to support data sharing, Voice of Our Neighbors initiatives, and related projects
Support reporting and compliance requirements, including Feeding America Network Activity Reports, audits, and year-end reporting
Interface with network partners to share best practices
Promote and contribute to a positive, mission-driven work environment
Perform other duties as assigned

Required

High School diploma/GED or equivalent experience
Food Safety and Handling Certified, or ability to be certified
Strong interpersonal, written, and verbal communication skills
Professional, respectful demeanor when working with neighbors, volunteers, staff, and donors
Ability to work in databases and quickly learn new systems, including e-commerce platforms
Detail-oriented with strong accuracy in inventory and warehouse documentation
Solid problem-solving skills with basic math and analytical ability, paired with creative thinking
Organized, self-motivated, and able to work independently in a fast-paced environment
Ability to work effectively under pressure and meet multiple deadlines
Ability to work effectively with people from diverse backgrounds

Preferred

1-2 years of ecommerce grocery pick-up, food pantry, retail or merchandising experience
One to three years of experience in supervision of employees or volunteers
Bilingual (Spanish) Strongly Preferred
Forklift certified or able to obtain certification
Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint)
Experience with ERP/Warehouse Management Systems and barcode scanning tools; able to accurately track cases, pallets, weights, inventory lots, and location
