Responsibilities

Schedule and manage client and advisory team meetings, including travel, space management and expenses
Spearhead client onboarding and contracting, including resolving any questions or issues related to billing, invoicing or contracts
Support advisory teams deliver critical client service, including assistance through tax deadlines. This can include:
Managing and processing incoming client mail
Creating vouchers
Requesting checks
Downloading tax documents
Drafting responses
Prepopulating subscription documents
Populating appropriate tax forms
Communicating operational tasks with external tax firms
Mailing out responses and tax filing, etc
Managing task trackers (i.e. tax refund logs, mortgage, tax tracker, notices log, frequency report etc.)
Coordinate capital calls
Supporting mortgage requests and applications
Preparing consent forms
DocuSign requests
Database updates
Executing philanthropic giving processes, including charitable acknowledgment letters
Support data gathering asks, data management et al as required
Collaborate with internal teams to complete various client service and operational tasks, including issue resolutions
Ensure processes and procedures within the advisory team are effective, efficient and compliant with firmwide policies and procedures
Identify opportunities to enhance operational efficiency
Understand and adhere to all policies and procedures including, but not limited to, quality, client service, information security and compliance
Ad hoc issue resolution and management support as required

Required

Bachelor's degree and / or demonstrated client service experience in a corporate environment
Familiarity with financial planning and tax documents is advantageous
Proficiency in Word, Excel, Outlook and Powerpoint
Eager to work in a fast-paced environment; ability to think and execute clearly under time pressure
Extremely organized and detail-oriented
Excellent communications skills
Team orientation
