Responsibilities

Act as the first point of contact for the team, providing a professional and welcoming service
Arrange and coordinate meetings, including taking accurate minutes and ensuring timely distribution of actions
Liaise confidently with other services and departments up to Board level across the Trust
Maintain appointment diaries for members of the Board Management Team, ensuring schedules run smoothly
Handle sensitive and confidential information with the utmost discretion at all times
Take on a Team Lead role, supporting and guiding administrative colleagues to ensure high standards and efficient workflows
To provide efficient and comprehensive Personal Assistant Service to the Directorate Manager, Associate Director of Midwifery and other members of the Directorate Management Team
To co-ordinate all enquiries made of the Directorate Manager and Associate Director of Midwifery and taking appropriate action or escalating to senior staff to ensure the continuity of effective service provision
To provide administrative support to the Directorate Management Team

NVQ level IVDiary managementOffice software packagesMinute takingMedical terminologyCommunication skillsOrganisational skillsTime managementInterpersonal skills

Required

NVQ level IV in Business Administration or equivalent qualification or equivalent level of relevant experience
Educated to GCSE level including GCSE English Language Grade C or above
Advanced keyboard skills including a very high standard of word processing skills e.g. OCR/RSA III or equivalent level qualification/experience
Previous experience in a PA / secretarial role including experience of diary management
Good working knowledge of Office software packages to include Word, Excel, PowerPoint and Outlook
Experience of medical terminology
Experience of minute taking
Excellent communication and interpersonal skills – able to communicate across a multi-disciplinary team
Excellent organisational skills and the ability to prioritise tasks
Able to work on own initiative
Able to manage time effectively

Preferred

Experience of staff management
Knowledge of Complaints process
Knowledge of NHS/Trust policies, procedures and guidelines
