Operations Support Specialist / Office & Admin Specialist Sr

Government Administration
Responsibilities
Performing and/or assuring the timely performance of all business requirements established in the administrative policies and procedures and standard operating practices
Providing administrative support as required by PIO
Managing schedules and meeting document production/processing
Providing support for division communications and human resource processes and procedures
Working in collaboration with and providing administrative support as required to PIO and its reporting Divisions
Qualification
Required
Development of administrative and programmatic procedures assisting with forms and all processes related to hiring and the onboarding process
Accounting/budgeting/expense experience managing, preparing, and submitting financial and accounting paperwork, such as expense reports
Database, documents, and records management relating to documents or records retention
Word processing experience with the following computer applications - Microsoft Word, Outlook, SharePoint, and Adobe
Customer Services skills managing voicemail, incoming and outgoing mail, and email correspondence
Transcription
Spreadsheets creation/development and editing experience using Excel
Preferred
Working knowledge of the statutes, rules, policies, mission and duties of the PIO unit in relation to the Department as a whole, to consumers, other governmental agencies, and internal and external stakeholders
Understanding of principles and techniques of program planning, development, and evaluation
Working knowledge of principles of data collection, analysis, and presentation
Ability to learn, understand, and apply new technologies to maximize efficiencies and organize complex information in a meaningful way
Excellent writing and speaking skills
Ability to develop and maintain professional working relationships and work collaboratively and respond flexibly to changing and sometimes conflicting priorities and demands
Variety of experiences working effectively with others from different backgrounds and cultures
