Administrative & Marketing Coordinator (Growth Track)
Civil Site Group is a forward-thinking civil engineering and land surveying firm seeking a dynamic and proactive professional to join their team. The Administrative & Marketing Coordinator will drive growth through innovative marketing strategies while providing efficient administrative support across various functions including bookkeeping and human resources.

Responsibilities
Support and create marketing initiatives across the company
Manage and update company social media accounts (LinkedIn, Facebook, Instagram, etc.)
Design marketing assets (flyers, proposals, presentations, brochures) using Adobe InDesign or equivalent
Assist in maintaining branding consistency across all company materials
Help prepare project pursuit materials, proposals, and client-facing documents
Maintain accurate financial records using QuickBooks Online
Assist with accounts payable/receivable, invoicing, and expense tracking
Support monthly reconciliation and reporting processes
Coordinate with external accountants as needed
Support payroll reporting processes
Assist with recruitment activities: job postings, resume screening, candidate communication, interview scheduling
Support employee benefit administration and respond to staff benefit inquiries
Assist with onboarding and maintaining HR documentation
Oversee office operations including supply purchasing and vendor coordination
Coordinate scheduling, meeting logistics, and office calendars
Organize office events, celebrations, and team-building activities
Perform occasional courier work and facility-related tasks
Qualification
Required
1–3+ years of experience with QuickBooks Online (bookkeeping fundamentals required)
Basic to intermediate Adobe InDesign skills (designing flyers, proposals, or simple marketing collateral)
Experience in office administration, marketing support, or similar administrative roles
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency with Microsoft Office and/or Google Workspace
Bachelor's (Required)
Ability to Commute: Minneapolis, MN 55422 (Required)
Preferred
Experience managing business social media accounts
Familiarity with HR processes or interest in HR career development
Experience in A/E/C (architecture/engineering/construction) or professional services industries is a plus
