HR Administrative Assistant

Accu-Time Systems, Inc is seeking an HR Administrative Assistant to provide clerical and administrative support to the Human Resources department. The role involves assisting with employee records, recruitment processes, onboarding, and ensuring efficient HR operations while maintaining a positive employee experience.

Responsibilities

Answer all incoming calls promptly and courteously, screen and prioritize voicemails, and ensure messages are accurately delivered to the appropriate parties in a timely manner
Maintain the reception area to ensure it is clean, organized, and presentable
Greet visitors at the front desk by welcoming them into the office and directing them to whom they are visiting
Receive, sort, and distribute mail and packages
Ensure office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Conduct routine audits of visitor badges to ensure they are returned and working properly
Decorate and maintain the office environment for seasonal events and holidays, ensuring a welcoming and festive atmosphere for employees and visitors
Create and post digital signage content utilizing the platforms: Canva and Arreya. Content may include: Birthday list, Holiday schedule, Payroll schedule, etc
Mail monthly birthday cards and years of service postcards to staff
Update, maintain and distribute various internal items such as photo directory, newsletter, and anniversary milestones to various members of the organization via Outlook/in-person as needed. Annual update of years of service posters
Support the coordination of ATS Company events, luncheons, and HR giveaways. Tasks may include:
Create invites via Canva
Communicate with vendors
Help setup/prep and deliver quality employee experience via company event/luncheon/giveaway/wellness challenge
Administrative duties which may include: creating copies, filing, or faxing documentation as needed or when requested
Ensure HR team has all new hire/onboarding packets which include: welcome kit, benefits, payroll schedule, etc
Provide support to the Director of HR with ad-hoc duties, projects, and activities for the department/organization
Book travel for various members of the organization as needed for internal staff or recruitment processes
Maintain inventory of breakroom and pantry. Communicate office supply needs to Supply Chain depart via Smartsheet form
Assist accounting with monthly credit card invoice by sorting receipts
Electronically and physical filing of customer agreements/contracts
Receive mail and packages for distribution to various members of Finance and Supply Chain
Handle requests and queries from senior managers and various departments (i.e.: email distribution, spreadsheet management, catering orders, etc.)
Perform related duties as assigned, within the scope of the position

Required

High school diploma or general education degree (GED)
At least 2-3 years of professional experience of hands-on Administrative or HR support functions in an office setting
Proficiency in MS Office (MS Excel and Word, in particular)
Creative mindset with the ability to develop engaging HR materials, improve administrative processes, and contribute new ideas
Working knowledge of office equipment, like printers and fax machines
Strong multitasking, organizational, coordinating, and interpersonal skills
Ability to handle confidential information with professionalism and discretion
Capable of working independently and as part of a collaborative team
Great communication skills, ability to work in a team. Excellent written and verbal communication skills; and strong interpersonal skills
Primarily sedentary physical work requiring ability to lift a maximum of 25 pounds
Occasional lifting, carrying, walking and standing
Frequent hand/eye coordination to operate computer keyboard and office equipment
Vision for reading, recording and interpreting information
Speech communication and hearing to maintain communication with employees and customers
