Responsibilities

Directly manage day-to-day operations and staff of the Finance Department, overseeing day-to-day administration of the organization. Systems/technology oversight, HR management, and financial management processes
Implement best practices in nonprofit management and administration, strengthening operational and data systems for long-term organizational sustainability, impact, collaboration, and budget realities
Ensure the organization has the necessary resources, policies, and systems to support its operations, providing consistent documentation and training
Manage effective implementation of systems and platforms for organizational operations, interdepartmental coordination, and for data-driven targets
Manage organizational records, contracts, key documents, and building operations
Optimize office equipment and environments for seamless in-office and remote work, while bolstering IT capabilities
Partner with Executive Director on all financial and strategic issues as they arise; provide recommendations on financial analysis and projections
Develop and cultivate relationships with grantor’s fiscal agents
Oversees the Budget Manager and other financial and administrative staff to maintain the organization's health, ensuring compliance with nonprofit requirements, and grant regulations
Ensure financial policies and procedures are up-to-date, followed consistently, and staff are oriented
Work with Executive Director and Director of Programs in developing the annual operating budget and actively monitor, modify, and revise budgets in collaboration
Collaborate with the Executive Director in providing accurate financial information and analysis, supporting long-term planning to fulfill fiduciary responsibilities and plan for the future of VCRC
Ensure completion of the annual audits and 990 tax filing by coordinating with external auditors, managing internal audit-related functions
Oversee and support compliance with grants, including timely submission of financial reports, implementation of grant-restricted fund tracking procedures, and creation of budgets and financial reports for grant applications and reporting requirements
Manage annual and multi-year budgeting and planning in collaboration with Executive Director and Budget Manager
Manage cash flow and forecasting
Maintain all insurance policies and bidding process when necessary
Oversee the monthly Board Finance Committee meetings
Support in building collaborative, sustainable, and impactful teams aligned with VCRC’s values and strategic priorities
Oversee recruitment, retention, and advancement of a diverse staff, setting targets for employee onboarding, training, and skill development, and overseeing compensation and benefits in line with the budget
In collaboration with the Executive Director and Director of Programs, support the annual review of salary ranges for all positions, making equitable, financially sustainable, and competitive range recommendations
Responsible for the preparation of all finance and administrative staff annual evaluations and review and approval of all other program staff evaluations, to submit for review and approval by Executive Director
Ensure accurate and timely processing of bi-weekly monthly payroll and serve as back up for processing payroll
Onboard all new staff
Maintain and update Employee Handbook with contracted HR consultants
Attend HR training courses as often as possible
Ensure all staff have met the annual mandatory trainings such as but not limited to security awareness and harassment
Ensure that all staff files are maintained and managed in a confidential manner that meets HIPAA and other applicable confidentiality regulations
Ensure HIPAA measures and scans are in place on an annual basis
Contribute to VCRC’s organizational development priorities, strategic planning and implementation, and fundraising initiatives
Coordinate with program managers to establish and monitor organizational goals
Identify, assess, and inform the Executive Director of internal and external issues impacting the organization, including finance, legal matters, 501(c)(3) status, and organizational culture
Co-partner with the Executive Director in VCRC’s signature events and support organizational fundraising efforts and outreach
Support VCRC’s strategic communications, narratives, policy advocacy, and campaign strategies
Collaborates with the Executive Director to effectively position the organization in its values and work to build alignment across teams

Required

Must have a bachelor's degree in finance and/or accounting or another related field
Minimum 5-7 years of experience in a financial leadership position within a non-profit organization
Proficiency in nonprofit management, operations, human resources, finance, and a successful history of driving progressive organizational change and development in a growing organization
Knowledge of risk management and insurance
Proactive and takes initiative in addressing organizational needs
Possess excellent collaboration, leadership, and problem-solving abilities, fostering effective partnerships with senior management and cross-functional teams
Excellent verbal and written communication skills, with transparency and directness, and the ability to motivate and connect with staff
Ability to build trust, receive and provide feedback, and lead teams effectively
Demonstrate extensive experience in supervising staff and dealing with challenging situations
Proficient in Quickbooks, Microsoft Office applications, tech-savvy with hands-on experience in website maintenance, Zoom (or other video conferencing platforms)
Well-versed in various HR platforms, financial systems, and IT systems
Must possess a valid California Driver's License and insurance is required
Must be willing to travel locally and out of town
Completion of a successful background check will be required
