Administrative/Legal Assistant
Responsibilities
Independently prioritizes and addresses legal and administrative tasks independently and efficiently
Effectively directs incoming phone calls to appropriate team members and provides detailed messages as needed
Manages calendars and coordinates meetings while maintaining confidentiality and meeting deadlines
Oversees incoming and outgoing mail, maintains daily mail log, and scans incoming correspondence for distribution to attorneys and staff
Processes incoming payments by coordinating with bookkeeper and running bank deposits
Receives, reviews, and organizes various client and court documents to maintain complete client records while adhering to firm file-naming and organizational standards
Drafts and edits basic legal documents, including but not limited to engagement and termination letters, motions, declarations, and notices, in various practices of law
Ensures professionalism and confidentiality in all communications, delivering clear and detailed messages to diverse contacts in a timely manner
Efficiently handles additional tasks as assigned
Qualification
Required
Minimum of 0-5 years of experience in legal and administrative support
Strong sense of ethics, integrity, and service; committed and open to professional growth
Exceptional interpersonal and communication skills, with a professional demeanor
Excellent attention to detail and multitasking ability; self-motivated and autonomous
Discretion in handling confidential information
Strong written, verbal, organizational, and analytical skills
Valid driver's license and vehicle required
Preferred
Law firm experience is a plus
Proficient in Office 365 preferred
