Responsibilities
Provide administrative support to two programs, the statewide construction unit and the deputy division director
Assist both internal and external customers by answering the phone and addressing or directing questions
Schedule meetings, travel arrangements, and take meeting minutes as requested
Prepare, proofread and coordinate various types of internal and external correspondence
Prepare, process, and track all personnel actions for the Director’s Office
Complete various data entry assignments such as the vehicle software system (WEX), and program inventory, and other databases
Prepare and coordinate housing leases and reports; process rent payments; send rent certificates and reconcile leases and payments
Prepare and code monthly credit card statements and expense reports
Review, code and submit invoices for payment entry
Order various office and program supplies as requested
Other related duties as assigned
Qualification
Required
3-5 years of relevant experience in administrative assistance, clerical support or office management

Computer Skills: Uses computers, software applications, databases, and automated systems to accomplish work
Oral and Written Communication: Expresses information (for example, ideas or facts) to individuals or groups effectively, consider the audience and nature of the information (for example, technical, sensitive, controversial); makes clear and convincing oral and written presentations; listens to others, attends to nonverbal cues, and responds appropriately
Manages Resources: Selects, acquires, stores, and distributes resources such as materials, equipment, or money
Attention to Detail: Is thorough when performing work and conscientious about attending to detail
