Executive Assistant

Responsibilities

Own complex calendar management for a senior revenue executive; coordinate across multiple time zones, gather agendas, and ensure meeting readiness
Plan and support leadership offsites and executive meetings; prepare briefing materials; capture notes, actions, and drive follow‑ups
Act as a trusted gatekeeper for communications; triage inquiries, draft/route correspondence, and ensure timely approvals
Coordinate domestic and international travel end‑to‑end, including itineraries, visas/passport requirements, and real‑time adjustments
Prepare expense reports, manage purchase orders, and serve as a subject‑matter resource on internal tools; partner with tech support to ensure seamless meetings
Contribute to special projects with Finance, HR, and Sales; conduct research, analyze issues, and provide recommendations for decision‑making
Mentor within the admin community, share best practices, and help cascade organizational updates

Qualification

Required

5+ years of combined, recent experience supporting C-suite executives at a public company
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); ability to create and edit executive-level presentations
Proven success managing global calendars and international travel
High discretion, sound business judgment, and professional presence
Exceptional organization, time management, and critical-thinking; proactive problem-solving
Excellent verbal and written communication skills
Collaborative, team-oriented approach with leadership capability to mentor peers
Values-driven: ethical, inclusive, respectful, and professional

Preferred

Experience with Concur (or similar) for travel and expenses
Daily on-site presence in Milpitas; flexibility to travel to support leadership meetings and events
